Duration: 6-Month Contract (Possible Extension)

Position Summary

Our client is seeking a highly organized and proactive Marketing Administrative Manager to support the Marketing and Media Relations Department. This role is responsible for budget administration, purchasing, vendor management, financial reporting, event coordination, and daily departmental operations in a fast-paced environment.

Key Responsibilities

• Manage departmental budgets, monitor expenditures, and reconcile financial data.
• Prepare annual operating budgets, budget requests, forecasts, and year-end reports.
• Process invoices, purchase requisitions, purchase orders, and payment requests.
• Serve as liaison with the Purchasing Department and ensure procurement compliance.
• Manage vendor contracts, billing, and vendor onboarding.
• Generate and review financial reports using PeopleSoft and FARS .
• Prepare RFP documentation, sole-source requests, and purchasing records.
• Coordinate marketing events, activations, branded materials, and vendor logistics.
• Schedule meetings, arrange travel, maintain department files, and provide administrative support.
• Maintain office supplies, coordinate staff parking placards, and manage SIDA badge administration.
• Support office safety initiatives and other departmental projects as assigned.

Qualifications

• Bachelor's degree preferred.
• 3+ years of administrative, operations, marketing, or office management experience.
• Experience with budgeting, procurement, vendor management, and financial reporting.
• Proficiency in Microsoft Office, especially Excel.
• Experience with PeopleSoft , FARS , or similar ERP systems preferred.
• Strong organizational, communication, and multitasking skills.
