Legal Operations Specialist

Overview

The Lemon Pros is a fast-growing plaintiff-side law firm seeking a highly motivated Legal Operations Specialist to help optimize and scale the firm's business systems and operational workflows.

This is a high-impact role responsible for improving how our firm operates by leveraging technology, automation, reporting, and process improvement. You will work closely with firm leadership to identify operational challenges, implement innovative solutions, optimize software platforms, and improve efficiency across every department.

Requirements

Key Responsibilities

• Customize and maintain Filevine system configurations, including templates, fields, forms, reports and workflows.
• Design and maintain advanced Excel workbooks, financial models, dashboards, and reporting templates that support ongoing performance monitoring.
• Monitor employee performance through KPIs and other quality assurance tools, including reviewing communications, dashboards, and other measurement tools to identify training needs and areas requiring management attention.
• Build custom reports, dashboards, KPIs, and reporting tools to provide meaningful operational and management insights.
• Analyze existing operational processes and workflows to identify inefficiencies, bottlenecks, and opportunities for automation or improvement.
• Develop and maintain standard operating procedures, technical documentation, and training materials for workflows, firm software and business systems.
• Train staff on firm software, process changes, and procedures, and develop resources that enable employees to independently perform routine tasks and reports.
• Troubleshoot software issues, coordinate with vendors, and serve as the primary point of contact for software-related operational questions.

Qualifications

• Bachelor’s degree from an accredited university.
• Experience customizing and configuring Filevine, including fields, sections, forms, templates, and custom reports.
• Expert proficiency with Microsoft Excel, including advanced formulas, data analysis, custom reporting, and building repeatable reporting processes.
• Develop and generate custom reports and analyses to support firm operations and decision-making; establish recurring reporting processes, and train staff to independently run and maintain recurring reports.
• Experience configuring and administering RingCentral, Microsoft Teams, and other communication platforms.
• Experience administering CRM, case management, or other business software platforms.
• Strong analytical, troubleshooting, and problem-solving skills with the ability to develop practical technology solutions.
• Experience analyzing and improving business processes through technology and workflow optimization.
• Strong project management and organizational skills with the ability to manage multiple initiatives simultaneously.
• Highly driven and resourceful, with a demonstrated ability to take initiative, manage multiple priorities, and deliver results with minimal supervision.
