Office Manager

City Lifestyle is seeking a highly organized, upbeat, people-oriented Front Desk Coordinator to be the welcoming face of our office. This role is ideal for someone with a warm, engaging, and proactive personality who is energized by staying busy. You'll own the front desk experience while balancing a wide variety of responsibilities across office operations, events, onboarding, inventory management, and administrative support. What You'll Do: Front Desk & Office Experience Serve as the first point of contact for employees, guests, vendors, and visitors Open the office each day at 8:00 AM, including preparing coffee, turning on lights, and ensuring the office is welcoming and fully operational Maintain a polished, organized, and hospitality-driven front desk environment Keep yourself productively engaged with a variety of administrative and operational projects throughout the day Office Operations & Facilities Confirm cleaning standards are met each morning across both office floors Maintain stocked bathrooms, office supplies, kitchen areas, and the City View water fridge Oversee organization and presentation of magazines throughout the office Help create an office environment that feels professional, organized, and inviting Inventory & Purchasing Monitor inventory for coffee bar, smoothie bar, kitchen, and office supplies Manage purchasing, ordering, and tracking through vendors including Amazon, Costco, Instacart, and other suppliers Ensure supplies are proactively replenished and operational needs are anticipated Training & Events Coordination Coordinate scheduling for virtual publisher training sessions Support logistics for in-person Kansas City trainings, including hotels, transportation, catering, materials, and attendee coordination Coordinate publisher collateral creation, proofing, and ordering (business cards, media kits, etc.) Serve as a liaison with external vendors for printed materials and mock magazines Publisher Onboarding & Administrative Support Set up publisher and publication accounts within internal systems Schedule onboarding and welcome calls, prepare welcome shipments, and distribute credentials Assist with technical setup, social media account creation, and onboarding documentation Support publisher transitions, publication takeovers, and launch timeline coordination Maintain accuracy of internal records, statuses, and onboarding workflows Who You Are: Friendly, approachable, and naturally hospitable — someone people genuinely enjoy interacting with Highly organized with strong attention to detail Comfortable managing multiple priorities and shifting between tasks throughout the day Self-motivated and enjoys staying busy without constant direction Strong communicator who is dependable, proactive, and solutions-oriented Tech-comfortable and able to navigate systems, scheduling tools, and vendor platforms Ideal Experience Experience in office administration, front desk coordination, hospitality, operations, executive support, or customer-facing administrative roles Experience with scheduling, ordering, event coordination, or onboarding support preferred Hospitality, retail, café, or customer service backgrounds are welcomed — especially candidates who bring strong energy, multitasking skills, and a service mindset City Lifestyle provides equal employment opportunities to all employees and applicants for employment and prohibits discrimination and harassment of any type without regard to race, color, religion, age, sex, national origin, disability status, genetics, protected veteran status, sexual orientation, gender identity or expression, or any other characteristic protected by federal, state or local laws.
