PDS Tech Commercial is partnering with a leading organization in the aviation industry to find a highly organized and detail-oriented Administrative Assistant / Talent Acquisition Coordinator . This is an exciting opportunity to play a critical role in the hiring process by supporting recruitment operations and ensuring candidates receive a seamless, professional experience from interview scheduling through onboarding activities.

What You'll Do
As a key member of the Talent Acquisition team, you'll provide administrative and operational support that helps attract top talent to a world-class aviation organization.
Day-to-Day Responsibilities
Coordinate and schedule interviews across multiple time zones for candidates, hiring managers, recruiters, and interview panels
Manage complex calendars, including executive, panel, and high-volume interview scheduling
Serve as a primary point of contact for candidates throughout the interview process
Provide timely communication, interview instructions, and status updates to candidates
Arrange candidate travel, including flights, hotel accommodations, and transportation
Process and track candidate expense reimbursements in accordance with company guidelines
Prepare and distribute interview schedules, candidate packets, evaluation forms, and related materials
Maintain accurate candidate information and status updates within applicant tracking systems (ATS)
Support recruiting operations by tracking scheduling metrics and coordination activities
Identify opportunities to improve hiring processes, workflows, and candidate experiences
Assist with additional Talent Acquisition and administrative support functions as business needs evolve
Ensure recruiting activities comply with applicable employment laws, OFCCP requirements, and EEOC guidelines
Required Qualifications
High School Diploma or equivalent with 8+ years of relevant experience , or
Bachelor's Degree with 4+ years of relevant experience
Strong organizational skills with the ability to manage multiple priorities simultaneously
Exceptional attention to detail and time management abilities
Excellent written and verbal communication skills
Ability to work independently in a remote environment while supporting a high-volume team
Preferred Qualifications
1-2 years of Talent Acquisition coordination, administrative assistant, recruiting support, or heavy calendaring experience
Advanced proficiency with Microsoft Office Suite, including Outlook, Word, and Excel
Experience scheduling meetings and coordinating activities across multiple stakeholders and time zones
Experience using Workday or other Human Resources Information Systems (HRIS) and Applicant Tracking Systems (ATS)
Previous experience supporting recruiting, HR, or talent acquisition functions

Pay Details: $27.11 per hour
