Keys daily worksheets into the general ledger system, and ensure files are complete and maintained. Perform various clerical and routine accounting tasks in support of the operating unit.Primary ResponsibilitiesCompile and maintain commercial insurance claims and employee expenses, and carry out general administrative functionsOpen and distribute all incoming mailAssist in Accounts Receivables and collections, as well as Accounts Payable processingPrepare daily bank deposits for trade and retail invoicesData entry for cash receipts for those deposits into the computer systemProcess, print, and release checks on-demand including advances, loans, invoices, and expense checksAssist with new vendor setup, (faxing, email, W-9 to vendors) Fill out new vendor setup form for SSG (Shared Solutions Services) and submit both W-9 and Excel form for Master DataMaintain files of all incoming checks receivedMaintain employee vendor information as it relates to employee expensesPrepare and file reports of commercial insurance accidentsMaintain commercial liability certificatesMaintain and update salesman’s monthly budget for the entire StateMaintain and update overtime report for the statePrepare all expense reimbursement vouchers for entry into a computer systemTrack budgets in order to limit expendituresCapture, verify and forward all bill back expenses to Assistant Accounting ManagerData entry of all samples and salesperson bottle purchases into a spreadsheetPrepare and mail bill back invoices for these expenses in addition to maintaining and tracking wine lists for quarterly bill backsMaintain general accounting department and employee expense reimbursement files, plus labels for all other accounting file foldersVerify and investigate all information on employee expense reimbursement formsMaintain mailing labels for vendors and employees as well as for the accounting department, to include overnight servicesMaintain and replenish all accounting department supplies for employees, copier and facsimilePerform other job-related duties as assignedMinimum QualificationsHigh school diploma or equivalency plus 2 years of experienceKnowledge with Generally Accepted Accounting Principles (GAAP), federal regulatory guidelines, and organizational objectivesPhysical DemandsPhysical demands include a considerable amount of time sitting and typing/keyboarding, using a computer (e.g., keyboard, mouse, and monitor), or adding machinePhysical demands with activity or condition may occasionally include walking, bending, reaching, standing, and stoopingMay require occasional lifting/lowering, pushing, carrying, or pulling up to 20lbsEEO StatementSouthern Glazer's Wine and Spirits, an Affirmative Action/EEO employer, prohibits discrimination and harassment of any type and provides equal employment opportunities to all employees and applicants for employment without regard to race, color, religion, age, sex, national origin, disability status, genetics, protected veteran status, sexual orientation, gender identity or expression, or any other characteristic protected by federal, state or local laws.
