Assistant Property Manager

Position: Property Manager - Building Operations Salary: $80-$90k/year Location: Current open portfolios - Northfield, IL, NorthPark, IL or Matteson, IL Position Summary We are seeking a hands-on, operationally focused Property Manager to oversee the daily physical condition and maintenance of a portfolio of office buildings. This is a unique property management role that does not involve budgeting, financial reporting, accounting, or traditional tenant relations. The ideal candidate enjoys being in the field, walking properties, identifying issues, managing vendors, and ensuring every detail is addressed. Candidates with retail property management experience are strongly preferred due to the fast-paced, highly visible, and hands‑on nature of the position. Key Responsibilities Visit assigned office buildings daily to evaluate their overall appearance, condition, maintenance needs, and operational performance. Conduct detailed property inspections and identify repairs, deficiencies, safety concerns, and opportunities for improvement. Create and manage comprehensive action-item lists, ensuring all identified issues are completed accurately and promptly. Source qualified vendors and contractors for maintenance, repair, and improvement projects. Obtain and compare vendor proposals, evaluate pricing and scope, and recommend the best solution for each project. Coordinate and oversee routine maintenance, repairs, and property improvement initiatives. Manage tenant improvement projects and ensure work is completed according to the approved scope, schedule, and quality expectations. Follow up consistently with vendors and internal teams to keep projects and maintenance items moving forward. Maintain organized records of inspections, proposals, work orders, project updates, and completed tasks. Serve as the owner’s on‑site representative and ensure each property consistently meets ownership standards. Respond quickly to changing priorities and manage extensive lists of property‑related action items. What This Role Does Not Include Preparing or managing property budgets Financial reporting or accounting responsibilities CAM reconciliations or variance reporting Rent collection or accounts receivable Lease administration Direct tenant relations or handling tenant maintenance calls Tenant maintenance requests are managed through a dedicated service line, allowing this position to remain focused entirely on the physical buildings and their operations. Qualifications Previous commercial property management, facilities management, or building operations experience. Retail property management experience is strongly preferred. Experience overseeing multiple commercial properties; office building experience is beneficial. Strong knowledge of property inspections, maintenance operations, vendor management, and tenant improvement projects. Ability to evaluate vendor proposals, compare pricing, and coordinate contractors effectively. Highly organized with the ability to manage large, detailed task lists and competing priorities. Strong follow‑through and a sense of urgency when addressing property needs. Comfortable spending the majority of the workday visiting and walking properties. Practical, solutions‑oriented approach with strong attention to detail. Must be operationally focused and willing to work outside of a traditional office setting. Ideal Candidate The ideal candidate is proactive, observant, and naturally notices the details others may overlook. This person prefers being at the properties, working directly with vendors, and seeing projects through to completion rather than spending most of the day behind a desk.
