Bilingual Project Coordinator

Roy Jorgensen Associates, Inc.

Bilingual Project Coordinator Location: Miami, FL. Full‑time intermediate administrative position. The Project Coordinator will directly manage the JAMMS and JDE systems, the central hub for field operations. Responsibilities include interacting with visitors, data entry, answering phone calls, assigning and scheduling work orders, creating production and scheduling reports, preparing client reports, maintaining accurate data, and processing third‑party claims. Major Functions Of The Job Administer and maintain the in‑house database management system (JAMMS and JDE), including work order management, HCM module management, querying reports, and reviewing customer service requests. Complete RACI duties and KPIs. Answer, screen, and direct all incoming communications. Replenish and maintain office and shop inventory as directed. Create and modify documents using Microsoft Office products. Perform general clerical duties: photocopying, faxing, mailing, filing, and manage the voicemail system. Maintain effective communication and close collaboration among clients and team members. Apply a customer‑service focus to all job duties. Support project scheduling. Minor Functions Of The Job Participate in weekly administrative meetings and required training. Be a dependable, reliable, and highly organized member of the team with business maturity, discretion, enthusiasm, and a positive attitude. Show initiative; seek out work and complete tasks without being told. Perform a series of administrative functions and provide additional services to ensure neat and presentable work areas. Provide assistance to other team members as necessary. Physical Requirements And Environmental Factors Moderate lifting; up to 20 pounds. Dexterity to write and manipulate a computer keyboard, mouse, and phone. Ability to hear and speak clearly. Ability to sit for extended periods of time. Qualifications High School Diploma or GED; some college courses preferred. Bilingual in Spanish. Must meet company background‑check standards (criminal record, driving record, and controlled‑substance/drug testing). Neat, clean and presentable appearance. Knowledge of general administrative activities. Knowledge of phone and messaging systems. Knowledge of Microsoft Office software. Solid organizational and planning skills. Proper phone technique and protocol. Excellent verbal and written skills. Knowledge of computer and keyboard systems. Ability to adapt and champion accelerated company initiatives. Ability to establish priorities and manage workload. Neat and legible handwriting. Basic math skills (including fractions, percent, and ratios). Ability to read and understand manuals, and write documents following prescribed formats. Ability to understand multi‑step written and oral instructions.
