JOIN US! At Synergy Construction Group, we are looking for a Project Coordinator to join our Project Management team in Chicago. Working closely with our PM Team, owners, subcontractors, architects, consultants, and public agencies, you'll do important work, ensuring documentation accuracy, completeness, tracking, maintenance of all project documents. We're an established GC with 17 years behind us, and we're looking to build our team with the right people - individuals who want to make a difference by serving communities in a way that makes a real impact. WHAT YOU'LL DO

Project Coordination & Documentation

• Prepare, process, track, and maintain construction documents including subcontracts, purchase orders, change orders, submittals, RFIs, lien waivers, and vendor/subcontractor documentation.
• Maintain organized project files and track outstanding documentation.
• Follow up with internal teams, subcontractors, and other stakeholders to keep project documentation current and moving forward.
• Support Project Executives, Project Managers, and field teams with reporting and document management.

Subcontractor & Vendor Coordination

• Assist with subcontractor onboarding and documentation.
• Request, review, and track lien waivers and supporting documents.
• Help resolve documentation, billing, and compliance issues.
• Track certificates of insurance, including general liability, workers' compensation, umbrella, and automobile coverage.

Compliance & Affordable Housing Projects

• Support compliance requirements for affordable housing, public-sector, and government-funded construction projects.
• Maintain documentation associated with IHDA, HUD, prevailing wage, certified payroll, and Section 3 requirements , when applicable.
• Review certified payroll submissions for completeness and accuracy before project-team review.
• Track compliance deadlines and documentation.
• Upload and manage documents through agency compliance portals and assist with requests from owners, agencies, auditors, and consultants.

Project & Closeout Support

• Obtain and renew contractor licenses with municipalities where required.
• Assist with project utility accounts, plans and drawings, and company project-management systems.

Office Support

• Notarize documents as needed and support general office projects and continuous process improvement.

WHAT WE'RE LOOKING FOR

• High school diploma or equivalent required; Associate's or Bachelor's degree in a related field preferred.
• Minimum 3 years of relevant experience in construction administration, project coordination, compliance administration, office administration, or a related field.
• Experience with a general contractor, construction manager, developer, or affordable housing organization preferred.
• Experience with IHDA, HUD, or other publicly funded construction projects required.
• Illinois Notary Public commission preferred; willingness to obtain and maintain a commission may be required.
• Knowledge of construction documentation including subcontracts, change orders, RFIs, submittals, purchase orders, lien waivers, insurance tracking, and project closeout.
• Strong organizational, communication, time-management, and problem-solving skills.
• Ability to manage multiple priorities and deadlines while working with project teams, subcontractors, vendors, clients, and regulatory agencies.
• Proficiency with Microsoft Office, Adobe Acrobat, and electronic document-management systems.
• Experience with Sage/MasterBuilder, Procore, and SharePoint is valuable.
• Ability to learn and navigate construction and compliance software platforms.
