Region Office Manager

Job Summary

Serves as administrative staff to the Region Director and Executive Director. Assists in the administration of programs and activities relating to all aspects of the region’s operations.

Duties/Responsibilities

• Provides administrative support to the Region Director, Executive Director, and Associate Directors. Primary support will be to the Colorado office.
• Coordinates all matters pertaining to fiscal transactions and administrative matters in conformity with API policies and procedures.
• Works with the Region Director and Executive Director to manage budgets and prepare financial reports, as well as other required reports.
• Responsible for administrative duties such as filing, ordering office supplies, answering telephones/taking messages, typing, taking notes, proofreading documents, coordinating travel and registrations for the team, and maintaining all office equipment.
• Knowledgeable about all operations of the office including activities and special reports and ensures that work is completed and submitted on time.
• Understands and stays current on state legislative processing routines and ethics and lobbying requirements.
• Maintains liaison with various contacts within API for assistance with building, finance and other coordination needs.
• Maintains legislative database and keeps current during legislative session.
• Helps compile articles and pertinent media clippings in the region.
• Sees that all committee rosters and mailing lists are kept up-to-date and others are notified of any changes.
• Assists with the administration and staffing of various events.

Key Relationships

• Works closely with the Region Director, Executive Director and Associate Directors in the day-to-day operation of the offices and provides the appropriate support as necessary.

Qualifications

• Requires 6 - 8 years of experience in a similar role and subject matter expertise.
• Bachelor's degree in relevant area, or other related field equivalent work experience. Some positions may only require an Associates degree/technical diploma, or other related field equivalent work experience.
• Requires comprehensive knowledge of API policies, practices, and procedures.
• Experience or interest in public policy and government affairs.
• Experience or interest in the natural gas and oil industry.
• Tech savvy and able to pick up new technology quickly.
• Self-starter and able to take initiative and be innovative.
• Experience with Microsoft Office 365 (Teams, Excel, Word, etc._

Physical Requirements

• Able to remain in a stationary position working on a computer
• Move about the office to access office machinery, meeting rooms, etc. on occasion
• Operate a computer and other office machinery such as printers and copy machines
• Transport items and equipment up to 25 lbs. on occasion
• This position regularly communicates with members and clients over the phone, via email, and in-person. Must be able to exchange accurate information in these situations.
