Accounts Receivable Specialist

Role Description The Accounts Receivable Specialist is a full-time, hybrid role based in Carlsbad, CA. Reporting directly to the Director of Finance, this individual will serve as the primary point of contact for our customer relationships – consisting of accounts that demand precision, persistence, and deep knowledge of wholesale distribution and vendor compliance ecosystems. This role is critical to the health of our order-to-cash cycle and requires someone who thrives in a fast-paced, dynamic environment with sophisticated retail and distribution partners. Job Responsibilities Maintain customer account records, including billing information, tax exemptions, resale certificates, and payment terms Investigate and resolve customer billing discrepancies, deductions, chargebacks, and payment issues by partnering with customers and internal Sales teams Manage collections for U.S. and Canadian customer accounts, documenting collection activity and maintaining accurate account notes Process customer payments, refunds, credit memos, account adjustments, and B2B prepayments while ensuring accurate cash application Reconcile consumer (D2C) and business (B2B) credit card transactions across multiple payment platforms, including chargebacks, returns, and unapplied cash Respond to customer inquiries by providing invoices, statements, credit memos, and other account-related documentation Partner with Sales and Operations to resolve fulfillment discrepancies impacting collections Prepare accounts receivable reports, reconciliations, and month-end support schedules as required Qualifications Results driven professional with strong time management, problem solving skills, organizational skills with a focused attention to detail while operating in a fast-paced environment 2+ years of Accounts Receivable experience, including billing, collections, cash applications, and order-to-cash processes NetSuite experience is highly desired Proficient in all Microsoft Suite programs including Excel & Word Ability to communicate at all levels within the organization Knowledge of accounting functions and related internal controls Ability to work extended hours during month end close 401K With a Company Match Paid Time Off + Holidays Sick Time Employee Product Discounts The salary range for this role is $25-$30 hourly based on experience.
