Talent Acquisition Coordinator (Contract)

Position Details Hybrid: 1 day in office per week Location: Flatiron District, New York, NY Part‑time contract: minimum 25 hours per week No sponsorship opportunities available What we are looking for: We are looking for a Talent Acquisition Coordinator who is enthusiastic, organized, and collaborative to support our recruiting team. The ideal candidate will have a passion for learning new things, a willingness to learn more about sourcing, and excellent attention to detail. This role plays a key part in ensuring a smooth and efficient hiring process, with a focus on coordination, communication, and candidate experience. What you will be doing: Work closely with Recruiters to support day‑to‑day recruiting coordination and processes Coordinate and schedule candidate interviews (remote & onsite) with hiring teams, ensuring accuracy and timeliness Facilitate interview scheduling, manage tracking spreadsheets, and update recruiting data to ensure accurate scheduling and candidate status Manage requests in the Talent Acquisition inbox by responding to inquiries promptly, including interview confirmations, reminders, and follow‑up communications Contribute to an overall positive candidate experience by maintaining communication, bridging information gaps, and ensuring a smooth transition through each stage of the recruitment process Assist Recruiters with candidate application management in our Applicant Tracking System, JazzHR, ensuring accurate candidate details and disposition Learn foundations of applicant sourcing and assist recruiters with pipeline creation Conduct market research and stay up to date with new and emerging HR technology Assist with gathering candidate feedback and identifying opportunities to improve the candidate experience and interview process efficiency Effectively balance multiple competing priorities, demonstrating strong organizational and communication ability while maintaining accuracy Assist in preparing and drafting formal offer letters for candidates Participate actively in team meetings and contribute ideas on process improvement Support special projects such as internship program coordination, recruiting process updates, and employer branding initiatives Exposure to all areas within the HR team, helping assist with onboarding and HR projects as needed Act as a brand ambassador for the company and the TA team as a whole Who you are: 1–2 years of experience in a professional environment; prior Talent Acquisition experience preferred Interest in building experience within Talent Acquisition, including learning recruiting processes and coordination workflows Strong proficiency in Microsoft Office (Outlook, Excel, Teams); experience with an ATS (e.g., JazzHR) is a plus Excellent written and verbal communication skills Strong organization, attention to detail, ability to problem‑solve and manage multiple competing priorities Approachable with a willingness to provide operational assistance to candidates and hiring managers, flexible to adapt to changing recruitment needs and strategies as the organization grows and evolves Ability to conduct market research and stay updated on industry trends and talent pools to proactively address staffing needs A commitment to handling sensitive candidate and organizational information with the utmost confidentiality and professionalism Other Duties and EEO Statement Please note that this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee.
