Position Title Program Analyst Location West Valley College, Saratoga, CA Position Summary The Enrollment and Financial Services Department at West Valley College in Saratoga seeks a Program Analyst to support admissions and financial aid operations. Under the Dean of Enrollment Services, this role provides specialized technical expertise and program support in admissions, records, and financial aid. The Analyst informs and advises students and families on eligibility, assists with application completion, reviews and evaluates student files, and ensures accurate updates to systems and records. The incumbent analyzes program and student needs, reviews special circumstance requests, contributes to procedure reviews and process improvements, and ensures compliance with regulatory standards. The Program Analyst serves as a key technical resource for students, faculty, staff, and administrators by interpreting policies and procedures related to admissions, records, and financial aid services. Responsibilities include generating and analyzing reports, reconciling financial and statistical data, monitoring automated systems, troubleshooting issues, and coordinating solutions with information systems staff. The position supports program development and compliance efforts, maintains timelines and communications regarding deadlines, and collaborates with campus and external partners to ensure effective program implementation. Responsibilities Inform, advise, and assist students and their families on eligibility requirements and application completion. Review and evaluate student files, ensuring accurate updates to systems and records. Analyze program and student needs in accordance with federal and state guidelines. Review special circumstance requests and contribute to process improvement initiatives. Generate and analyze reports, reconcile financial and statistical data, and monitor automated systems. Troubleshoot issues and coordinate with information systems staff to resolve them. Support program development and compliance efforts, maintain timelines, and coordinate communications regarding deadlines. Collaborate with campus and external partners to ensure effective program implementation. Assist with development and implementation of program policies and procedures. Compile and analyze data related to program participation and evaluation; oversee maintenance of student databases. Coordinate outreach and marketing activities and deliver presentations, orientations, and workshops. Recruit, hire, train, evaluate, and direct program staff and student workers. Monitor student enrollment and academic progress to determine program eligibility. Serve on advisory committees and research regulatory changes affecting program participants. Perform related duties as assigned. Qualifications Equivalent to possession of a Bachelor’s degree from an accredited college or university with major coursework in business administration, public administration, social science, or a related field, AND Two years of responsible technical or professional experience in a student service‑oriented program at a college or university. Understanding of and sensitivity to the diverse academic, socio‑economic, ethnic, religious, cultural, disability, and sexual orientation backgrounds of community college students. CalPERS retirement. Position is union affiliated. Salary Anticipated monthly salary range: $8,785.25 – $9,608.50 (WVMCEA Salary Schedule, Range 67, Steps A‑C). Working Conditions Full‑time, 37.5 hours per week, 12 months per year. Schedule may change to include evening or weekend hours as needed. Physical demands include working at a desk for long periods, handling equipment, and occasional light lifting (≤10 lbs).
