Administrative Assistant (CLDP Department)

We're seeking a detail-oriented professional to support our CLDP Department by conducting online research, managing administrative and clerical tasks, and ensuring time-sensitive assignments are completed accurately and efficiently in a fast-paced environment.

Position Responsibilities

  • Maintains and updates accurate data in the company database.
  • Research/locates deeds and liens on various websites.
  • Mailing/emailing of documents daily.
  • Digital recording of documents to the County Recorder's.
  • Sort, scan and distributes mail/documents daily.
  • Data entry of various documents into company database.
  • Electronically filing documents as needed.
  • Creating/maintaining spreadsheets for department.
  • Assists Department with special projects as needed.
  • Performs other administrative duties as directed by Department Manager.
  • Performs other related duties as directed.

Knowledge, Skills and Abilities:

  • Ability to multitask and prepare and process large amounts of legal document items while being detail oriented.
  • Ability to handle multiple tasks simultaneously, establish priorities, and meet deadlines.
  • Exceptional organization and tracking skills.
  • Ability to function efficiently in a high volume, fast-paced environment.
  • Ability to proficiently utilize computer programs and company database systems, including Microsoft office, internet and e-mail systems.
  • Ability to interact and work positively and effectively with staff at all levels.
  • Advanced communication skills (both verbally and written), and the ability to communicate with all levels of management and staff.
  • Ability to work collaboratively and cooperatively within the department as well as with other departments.

Physical Demands & Work Environment:

  • Utilizing a computer in an office setting.
  • May be required to lift boxes, fill paper trays, and other minor physical office related tasks.

Education:

  • High School or better.

Experience:

  • Required: 2 years: Full time, paid, professional experience working within administrative support role within an office environment.
