Accounts payable specialist

In this role, you will be responsible for ensuring accurate, timely, and compliant processing of vendor invoices, payment distributions, and account reconciliations. The ideal candidate possesses high attention to detail, problem-solving skills, and a solid understanding of general accounting principles.

Qualifications & Requirements

• Experience: 2+ years of dedicated Accounts Payable experience.
• Education: High school diploma required; Associate degree in Accounting or Business Administration is a plus.
• Software Skills: Proficiency with ERP/accounting software (e.g., QuickBooks, NetSuite, SAP, or Microsoft Dynamics) and intermediate Microsoft Excel skills (data entry, basic formulas, lookup functions).
• Core Competencies: High degree of accuracy, organizational skills, and excellent communication abilities.

Responsibilities

• Review, code, and enter vendor invoices into the accounting system with speed and precision
• Perform 3-way matching (invoices, purchase orders, and receiving reports) to verify charges
• Identify and resolve billing discrepancies or missing documentation directly with vendors and internal teams
• Prepare and execute weekly payment runs (checks, ACH, wire transfers, and credit card payments)
• Build and maintain positive, professional relationships with key vendors; respond promptly to payment status inquiries
• Assist with month-end closing procedures, including AP ledger reconciliations and expense accruals
• Maintain up-to-date vendor profiles, including W-9 collection, tax status verification, and annual 1099 processing
