Service Billing Specialist – HVAC

Position Overview

We are seeking an experienced  Service Billing Specialist to join a well-established HVAC company in Farmingdale, NY. This position will be responsible for managing the  billing and invoicing process for the company’s service department , working closely with technicians, service managers, customers, and the accounting team to ensure accurate and timely billing.

Responsibilities

• Prepare and process  service invoices for completed HVAC service calls, repairs, and maintenance work.
• Review technician work orders, service tickets, labor hours, materials, and equipment used prior to invoicing.
• Ensure invoices accurately reflect  labor, parts, materials, service agreements, and applicable rates .
• Follow up with technicians and service managers regarding missing or incomplete documentation.
• Handle  customer billing inquiries, invoice discrepancies, credits, and adjustments .
• Track open service tickets and ensure completed work is billed promptly.
• Assist with  accounts receivable and collections on outstanding service invoices.
• Maintain accurate customer, job, and billing records within the company’s accounting/service management system.
• Process purchase orders and ensure vendor/material costs are properly applied to jobs.
• Work closely with the accounting department to reconcile billing and payment discrepancies.
• Assist with monthly billing reports and other accounting-related responsibilities as needed.

Qualifications

• Previous  service billing, accounting, or bookkeeping experience within HVAC, plumbing, mechanical contracting, construction, or a similar service-based industry strongly preferred.
• Strong understanding of  service tickets, work orders, labor and material billing, and job-related costs .
• Experience with  QuickBooks and/or HVAC service management/accounting software preferred.
• Strong Excel and general computer skills.
• Excellent attention to detail and ability to handle a high volume of invoices.
• Strong communication and follow-up skills.
• Ability to work independently and coordinate with technicians, service managers, customers, and accounting personnel.

Compensation: Up to $90,000 , depending on experience.
