The Administrative Assistant plays a key role in keeping our engineering projects running smoothly by supporting proposal development, organizing project documentation, and coordinating communication across teams. In this role, you'll help prepare client ready materials, track project progress, manage schedules and logistics, and ensure information flows efficiently between technical staff, managers, and clients. Here's a glimpse into your day to day:

  • Support the proposal development process by coordinating inputs, assembling documentation, tracking deadlines, and ensuring materials are organized and complete for submission by technical and business development teams.
  • Prepare letters, reports, and correspondence from draft to client-ready
  • Assist managers with project status updates, expense reports, and monthly accounting tasks
  • File project documents, track tasks, and maintain accurate records in project management systems
  • Coordinate meetings, events, and travel logistics, including agenda creation and follow-up
  • Prepare and assemble plans, reports, and packages for internal and external use
  • Communicate effectively with internal teams and clients to support timely project delivery

You'll be a perfect fit if you have:

  • High School Diploma or equivalent is required; Associates degree is a plus.
  • Minimum of 3 years of office administrative experience, preferably within engineering, construction, or technical services business.
  • Advanced knowledge of MS Office (Word, Excel, PowerPoint, Outlook, etc.)
  • Proficient in SharePoint & Teams
  • Knowledge of utilizing a CRM; HubSpot experience is a plus
  • Preferred knowledge utilizing an ERP; Sage Intacct experience is a plus
  • A proactive, solutions-oriented mindset with the ability to prioritize and multitask effectively
  • Commitment to professionalism and discretion when handling confidential information
  • Excellent verbal and written communication skills
  • Must be organized and pay strong attention to detail.

Compensation and Benefits:

  • Pay: $25-35 Hourly (depending on experience)
  • Annual Profit Sharing Bonus (variable)
