The Operations Specialist will work closely with financial advisors and internal team members to ensure efficient office workflows, accurate recordkeeping, and responsive client support. Responsibilities
- Serve as a primary point of contact for client service inquiries and provide timely support.
- Coordinate calendars, appointments, and scheduling activities for multiple financial advisors.
- Track client-related projects and ensure effective communication throughout each process.
- Maintain accurate client records and update customer relationship management (CRM) systems.
- Manage incoming calls, mail distribution, and check scanning procedures.
- Support office operations while ensuring attention to detail and adherence to established processes and compliance requirements.
- Collaborate with advisors and team members to improve workflow efficiency and client satisfaction.
Required
- 2+ years of experience in financial services, operations, administrative support, client service, or a related field.
- Strong verbal and written communication skills.
- Excellent organizational and time management abilities with the capacity to handle multiple priorities.
- High level of attention to detail and accuracy.
- Proficiency with Microsoft Office applications and business technology platforms.
- Experience maintaining databases, client records, or CRM systems.
- Ability to work independently and collaboratively within a team environment.
- Commitment to professionalism, integrity, and delivering outstanding client service.
- Bachelor's degree in Business, Finance, Communications, or a related field.
- Previous experience supporting a financial advisor, wealth management firm, investment practice, or financial services organization.
- Familiarity with CRM platforms and financial services technology tools.
- Experience working in a regulated or compliance-focused environment.
- Demonstrated commitment to continuous learning and professional development.
