Practice Coordinator

Role Overview We are seeking a highly organized, approachable, and detail‑oriented Practice Coordinator 2 to support our busy satellite clinics in Walnut Creek and San Ramon. In this essential front‑line role, you will serve as the first point of contact for our patients, ensuring smooth clinic operations and delivering an exceptional patient experience. The ideal candidate will thrive in a dynamic healthcare environment, comfortably managing fluctuating daily patient volumes while maintaining a high standard of customer care. Key Responsibilities Front Desk Operations: Warmly greet patients, manage the check‑in and check‑out processes, and ensure the waiting area is welcoming and organized. Patient Communications: Manage incoming calls, promptly return voicemails, and conduct outbound appointment reminder calls to optimize the clinic schedule. Insurance & Billing Support: Accurately verify patient insurance eligibility and secure necessary medical authorizations prior to appointments. Records Management: Digitize and route physical medical documents by efficiently scanning and uploading them into the electronic health record system. Workflow Adaptability: Support a variable, fast‑paced daily clinic flow that ranges from 20 to 170 patients per day. Pay and Schedule Salary: $24.75 - $24.76 per hour. Shift: First. Work hours: 7:45 AM – 4:45 PM. Qualifications & Skills Required Experience: 1 to 3 years of minimum experience in an administrative or customer‑facing role. Customer Service: Exceptional interpersonal skills with a commitment to providing empathetic and professional patient care. Organization: Multitasking abilities with excellent attention to detail. Preferred: Prior administrative experience in a medical clinic or healthcare setting. Language: Bilingual proficiency (Spanish speaking) is highly desirable. Technical Proficiency: Prior training and experience using APeX (Epic) is strongly preferred; otherwise, we are open to training highly qualified candidates who do not currently have APeX experience.
