Special Projects Coordinator

New School San Francisco is a public charter school currently serving 470 transitional kindergarten through 8th grade students from all corners of the city and from all backgrounds. We believe in a “hands on minds on” approach to learning that harnesses each student’s curiosity and encourages learners to construct their own meaning and knowledge through inquiry-based learning. We aim to practice equity in all that we do – ensuring every child is able to access and receive an individualized education that builds off their unique strengths, skills and passions. PURSUIT OF ANTI-RACISM & PRO–BLACKNESS

We are committed to breaking down systemic structures which contribute to deep inequities in education. Our goal is to prioritize our Black and brown students, English Language Learners (ELLs), and students with Individualized Education Plans (IEPs) by dismantling white supremacy. However, we know that our school and organization must continue to evolve to reach this aspiration. We therefore continuously question our culture, climate, and curriculum. We aim to teach kids of all ages to think critically about how race has been constructed in the United States, to become aware of their own racial socialization, and to have skills and vocabulary to engage in productive conversations around race, racism, classism, sexism, ableism and other inequities. We specifically are aiming to become a pro-Black organization, as we know that Black people have been the most marginalized within our society and within our school as well. Our work centers inquiry, inclusion and joyful learning while building a coalition of schools committed to transforming education. Through professional learning experiences, school partnerships, resource development, and strategic collaboration, Project Future seeks to increase access to high-quality, inquiry-based learning for all students. About AI Policy Community Coalition The AI Policy Community Coalition is an independent non-profit collaborating with New School San Francisco to ensure the voices of students, teachers and parents are heard and represented in local and national discourse and policy-development. New School San Francisco is serving as a host campus for gatherings, listening sessions, and workshops this year. Position Summary To support both initiatives this year, NSSF is seeking a highly organized, proactive, and mission-driven Special Programs Coordinator to support the Director of Project Future and NSSF’s Executive Director. This is an ideal role for someone who loves bringing order to complex projects, thrives in fast-paced entrepreneurial environments, enjoys working behind the scenes to ensure excellence, and is passionate about educational equity. The Coordinator will serve as the operational backbone of Project Future and other special projects - managing project plans, coordinating events and school partnerships, supporting communications, organizing resources, tracking deliverables, and ensuring that multiple workstreams stay on track. We're looking for someone who is a self-starter with exceptional integrity, excellent follow-through, strong communication skills and a deep commitment to educational justice and stewarding our Pro-Black initiative.

RESPONSIBILITIES:

Project Management (40%) Maintain and update roadmaps and project management systems Track timelines, milestones, deliverables, and deadlines across multiple workstreams Prepare meeting agendas, notes, follow-up tasks, and action trackers Coordinate calendars, logistics, and scheduling for special programs & initiatives Develop systems that improve organizational efficiency Ensure projects move from planning to implementation with strong attention to detail Operations & Communication (25%) Coordinate logistics for visits, community gatherings, board meetings, retreats and other in-person events Develop and manage systems for registration, feedback collection, and vendor partnerships Be responsible for day-of event management Serve as a point of contact for a variety of internal and external stakeholder communications Prepare presentation and meeting materials Technology & Content Management (25%) Track participation and project metrics Maintain partner database Create dashboards and reports Identify opportunities to improve workflows through technology and AI tools Develop, organize and maintain digital resource libraries Upload and manage online content including website updates Manage shared drives

QUALIFICATIONS:

2+ years of project coordination, operations, executive support, or program management experience Outstanding organizational and time-management skills Exceptional written and verbal communication Strong attention to detail Demonstrated ability to manage multiple projects simultaneously High level of professionalism and discretion Proven ability to work independently Strong relationship-building skills across diverse stakeholders Familiarity with tech-based tools and platforms (Google Workspace, Project management tools, Zoom, Canva etc) Experience using AI tools (ChatGPT, Claude, Gemini, NotebookLM, or similar) to increase productivity and improve workflows Comfortable learning new technologies quickly Bilingual (preferred) Experience in education, nonprofits, or school systems (preferred) Experience supporting grants, fundraising, or external partnerships (preferred) Website or content management experience (preferred)
