Facilities CoordinatorSouth San Francisco, CABioMed Realty is seeking a Facilities Coordinator to provide onsite and remote support to our west coast life science real estate portfolio: San Francisco, San Diego, Seattle, Boulder. This role is ideal for someone who enjoys a mix of hands-on coordination, technical problem solving, and data-driven facilities support. The Facilities Coordinator will work closely with Facilities Managers and site teams to help maintain building systems, manage vendors and service requests, support projects, organize drawings and asset information, and assist with utility and energy tracking.This is a great opportunity for someone early in their facilities career who wants exposure to building operations in a dynamic life sciences environment. The successful candidate will be organized, responsive, technically curious, and comfortable working across a wide range of responsibilities, from work order coordination and documentation to building systems support and emergency response.Previous experience in facilities, building operations, engineering support, property operations, construction coordination, or a related field is beneficial, but not required.Key Duties and ResponsibilitiesSupport the technical and strategic operation of BioMed Realty's life science facilitiesImplement building operating and maintenance programs, improving system reliability, performance and energy efficiencySupport facilities managers with planning and executing projects of varying complexity and scopeMaintain facility records, equipment logs, as-built drawings, O&M manuals, and other technical documentationSupport capital improvement and repair projects by tracking schedules, budgets, proposals, invoices, and closeout materialsManage utility sub-metering systems, lead data analysis and quarterly reviews with property teams and create Excel-based energy models for new propertiesAssist in preparing and tracking annual facilities utility budgets, including analyzing historical consumption, reviewing rates, and projecting use changesHelp prepare reports, spreadsheets, and presentations related to facilities performance, budgets, service activity, and project statusParticipate in site inspections to identify maintenance needs, safety concerns, and operational issuesComply with annual benchmarking requirements for utility consumption within ESPM (Energy Star Portfolio Manager) and GRESB (Global Real Estate Sustainability Benchmark)Support emergency response and urgent facilities issues during or after business hours as neededSupport management of internal programs and initiativesMaintain security of company information, systems access, and confidential operational dataJob SpecificationsInterest in facilities, building operations, engineering support, or technical coordination workBasic understanding of commercial building systems such as HVAC, plumbing, electrical, or building controls is helpfulStrong organizational skills and ability to manage multiple prioritiesDetail-oriented and proactive in tracking tasks, documentation, and follow-up itemsAbility to work effectively with internal teams, contractors, vendors, and service providersComfortable working with Excel, work order systems, and general business softwareAbility to learn new systems and technical tools quicklyAbility to problem solve and find practical solutions in a fast-paced environmentStrong written and verbal communication skillsWillingness to support both routine activities and urgent operational needsBachelor's degree in engineering, construction management, facilities management, or a related technical field, or an equivalent combination of education and experienceExperience with CMMS, BAS/BMS, utility tracking tools, or technical documentationExposure to facilities work in life sciences, laboratories, greenhouse operations, manufacturing, healthcare, higher education, or commercial real estateFamiliarity with reading floor plans, equipment schedules, and MEP-related drawingsExperience supporting vendors, service contracts, maintenance programs, or small projectsAbility to move throughout office, laboratory, greenhouse, and building support areasAbility to occasionally lift up to 25 poundsAbility to work at a computer for extended periods and perform site walks as neededMust be able to respond to urgent facilities issues outside normal business hours when requiredAbility to hold a valid California driver's license and potential to be covered by a company vehicle insurance planCompetencies Critical for SuccessAttention to DetailComputer LiteracyContinuous LearningInitiativeOral CommunicationPlanning and organizingResult orientationSelf-confidenceTeamworkWritten communicationSalary Range : $40.37 - $50.32 per hour + Performance Based Incentives + Comprehensive BenefitsBenefitsAt BioMed Realty, we make sure you have the support and resources to leverage and develop your skills, secure your financial future, and take care of your health and well-being.
