C‑Suite Executive Assistant (EA) Job Description: FIS is seeking a curious, motivated, and forward‑thinking executive assistant to support C‑suite leaders and their teams. This role requires agility, discretion, and a proactive mindset to orchestrate schedules, global communications, and cross‑functional collaboration with speed and accuracy. The position is located in Jacksonville, FL and requires in‑office presence, with limited hybrid flexibility. About the role This role provides high‑level administrative support to executive(s) and their teams, ensuring timely responses, efficient coordination, and seamless execution of daily operations. About the team You will be part of the Executive Assistant Center of Excellence (EA CoE) – a global community redefining what it means to be an EA at FIS. The CoE drives operational excellence, collaboration, and capability building across the EA network. Required Qualifications Minimum 5 years as an Executive Assistant supporting C‑suite (President or above). Self‑starter who requires little supervision, decision‑making ability, and can push back to keep executives on task. Strong ability to contribute ideas, serve as part of the leadership team, and act as an ambassador for the executive and team. Experience coordinating international travel. Extensive knowledge of clerical administrative duties and proficiency in common industry applications. Specific expertise in MS Outlook, Word, Excel, PowerPoint, Teams, and SharePoint. Ability to follow through on open items and strong attention to detail. Ability to maintain confidentiality, communicate effectively, and keep accurate records. Ability to adapt to change and respond to evolving business needs. Familiarity with AI‑enhanced productivity tools and willingness to adopt emerging technologies. Willingness to manage executive calendar and set expectations. Ability to learn new company processes and policies quickly and communicate them to executives. Effective written and verbal communication skills. Ability to establish and maintain working relationships with executives, employees, clients, and the public. Responsibilities Perform high‑level administrative duties to ensure timely responses and quick turnaround times. Manage schedule, arranging appointments, travel, meetings, expense management, and conference calls. Assist with executive and personal assistance to meeting planning, agenda coordination, and meeting requests. Build strong relationships with other Executive Assistants for cross‑team collaboration. Act as a gatekeeper, bridging communication between the executive and stakeholders and maintaining credibility and trust. Analyze and anticipate business needs proactively, using initiative and independent judgment. Stay knowledgeable of corporate policy. Interpret and communicate executive intent to employees. Exercise judgment within defined practices and policies to meet objectives. Work under minimal supervision with excellent customer service, time management, and organizational skills. Drive end‑to‑end preparation for internal and external meetings, liaising to gather materials, align stakeholders, and secure prep time. Edit materials for grammar, punctuation, clarity, and sentence structure. Distribute prepared materials to appropriate parties and revise as directed. Apply written and verbal communication skills to share knowledge and updates effectively. Maintain files of correspondence, reports, and records, keeping executives and the leadership team informed of meeting changes. Benefits Ample development resources to advance your skills.
