The Office Assistant supports administrative operations, recruitment and audition logistics, promotional activities, and event staffing under the direction of the Department Administrative Specialist. This student role develops office, communication, and event-management skills in a theatre/dance environment. Core responsibilities Administration & Front Desk (primary) Provideprofessionalphone/emailreceptionandin-personcustomerservice;greetvisitorsanddirectinquiries. Maintaindepartmentalofficeareas:tidycommonspaces,dust,cleanglass,disinfectsurfaces,restockmaterialsrackandcallboard,managerecyclingandoutdatedpublications. Performdailyofficetasks:mailpickup/delivery,copying,filing,archiving,on campuserrands,andbasicdataentry. Handleconfidentialdepartmentinformationwithdiscretionandfollowofficedresscodeandguidelines. Publicity & Communications UpdateDepartmentPublicityscheduleeachsemesterandproofallpublicitymaterialsbeforedistribution. PrepareandmailPreviewInvitationletterstoareahighschools;maintainrelevantExcellists. Createperiodicpromotionalcontentforcampusoutlets(e.g., radio "ReadOften")andassistwithsocialmediarecruitmentcampaignsasassigned. Maintainposterdistributionlistsandcoordinateposteravailabilityandpickupforpracticumstudents. Event & Performance Support Assistwithcoatcheckoperations:ensurecleanliness,supplydelivery(programs),flashlight/batterychecks,andproperstorage/hangingofcoats;deliverHouseManagerbinderbypreview. SupportFirstNighters:assistwithtabletopdesign,prepareandorganizenametags,setup/check-inmaterials,andcoordinatepost-eventbreakdown/storage. AssistAdministrativeAssistantandfacultywithorientationpicnic,recruitmentevents,tours,anddepartment-hostedactivities. Auditions & Recruitment Assistinplanning,setup,andexecutionoftheatreanddanceauditiondays:createvolunteersign-upsheets,managevolunteerassignments,prepareauditionschedulesandapplicantletters,andemailschedulestoapplicants. Setupauditionspaces(tables,chairs,media,signage),preparenamebadges,managebeveragestations,confirmcleanliness,placespikemarks,andsupervisestudentvolunteers. ProficiencywithMicrosoftOffice(Teams,Word,Excel)andfamiliaritywithAdobeSuite. Strongorganizationalskillsandabilitytobalancephoneduties,visitorreception,andprojectdeadlines.
