** Key Responsibilities **

** Purchasing & Procurement Execution **

· Issue purchase orders for raw materials, hardware, specialty components, and production supplies

· Ensure purchase orders align with approved estimates, budgets, and production schedules

· Confirm pricing, quantities, lead times, and specifications with vendors prior to order placement

· Coordinate delivery schedules to support project timelines and production readiness

· Track open purchase orders and proactively follow up on pending confirmations, shipments, and backorders

· Assist with sourcing alternative materials or vendors when lead times or shortages impact schedules

· Maintain accurate purchasing records and documentation across all active projects

** Vendor Coordination & Communication **

· Serve as a daily point of contact for suppliers regarding orders, delivery updates, and procurement questions

· Maintain professional and responsive vendor relationships to support reliable material flow

· Escalate supplier delays, shortages, or discrepancies to the Procurement & Estimating Coordinator

· Support vendor quote collection and pricing updates for estimating and procurement planning

· Assist with maintaining vendor files, pricing histories, and procurement records

** Production & Project Coordination **

· Coordinate with production teams to verify material priorities and delivery needs

· Monitor material status to ensure production schedules are supported

· Communicate changes in lead times or delivery schedules that may impact operations

· Assist with material allocation and project-specific purchasing coordination

** Inventory & Receiving Support **

· Coordinate with receiving personnel to ensure incoming materials are matched to purchase orders

· Verify receiving documentation and support resolution of quantity or shipment discrepancies

· Assist with inventory tracking and material status updates within internal systems

· Support inventory audits and material usage tracking as needed

Cost Control & Documentation

· Maintain purchasing accuracy to support budget adherence and margin control

· Assist with tracking material cost changes and supplier pricing trends

· Ensure purchase orders, acknowledgements, and invoices are properly documented and organized

· Coordinate with accounting to resolve invoice discrepancies and purchasing questions

** Qualifications **

· 2–5+ years of experience in purchasing, procurement coordination, inventory control, or construction/manufacturing support

· Strong organizational and follow-up skills with attention to detail

· Experience managing multiple purchase orders and vendor communications simultaneously

· Understanding of purchasing workflows, material tracking, and production support processes

· Proficiency in Excel and purchasing or ERP systems preferred

· Strong communication and coordination skills across departments and vendors

** Preferred Experience **

· Manufacturing, millwork, cabinetry, construction supply, or custom production environments

· Exposure to long lead-time materials or project-based purchasing

· Experience supporting procurement and production scheduling processes
