Missouri Girls Town is seeking a friendly, organized, and detail-oriented administrative assistant to serve as the first point of contact for our organization. This position plays a vital role in creating a welcoming environment for visitors, supporting daily office operations, and providing administrative assistance to our leadership team.

Essential Responsibilities

• Professionally answer and direct incoming phone calls, ensuring all calls are handled courteously and efficiently.
• Welcome visitors and determine appropriate access to staff members, including executive leadership.
• Create, organize, maintain, and archive client files in accordance with agency procedures.
• Monitor and distribute incoming and outgoing mail, correspondence, and faxes.
• Manage office postage and maintain inventory of office supplies.
• Record all incoming monetary donations, make copies for agency records, and deliver documentation and funds to the Accounts Receivable department.
• Prepare reports, letters, memos, and other administrative documents.
• File and retrieve organizational records, documents, and reports.
• Provide general administrative support to leadership and agency staff.
• Perform other duties as assigned by the Associate Director and Executive Director.

Qualifications

• High school diploma or equivalent required; associate degree preferred.
• Previous administrative or office experience preferred.
• Excellent verbal and written communication skills.
• Strong organizational skills with exceptional attention to detail.
• Proficiency in Microsoft Office (Word, Excel, Outlook) and other standard office software.
• Ability to maintain confidentiality and handle sensitive information with professionalism.
• Strong customer service skills and the ability to interact professionally with staff, clients, donors, and community members.
• Ability to prioritize multiple tasks and work independently.
