We have an exciting opportunity to join our team as a Program Coordinator. In this role, the successful candidate is responsible for providing basic to moderate coordination for the Dermatopathology Unit of the Ronald O. Perelman Department of Dermatology. Works across clinical, laboratory, technical, research, and administrative functions and collaborates with internal and external parties to organize and coordinate the various components required to initiate, implement, and complete Unit programs, projects, and operational initiatives. Supports the coordination and optimization of laboratory workflows, specimen routing and logistics, scheduling, EMR integrations, equipment and facility needs, vendor relationships, and other operational processes. Coordinates activities associated with the expansion of laboratory services and the implementation of new capabilities, including the transition of currently outsourced testing to in-house processing and support of the Units 24-hour operational model. Promotes, coordinates, and supports the development and administration of research programs, including gathering, organizing, tracking, and performing basic analysis of data. Facilitates administrative processes related to recruitment and onboarding, maintenance of records, scheduling and coordination of meetings and programs, non-traditional volunteer processing, visa processing, purchasing, and the organization of seminars, training programs, and other Unit activities. Supports workflow improvement and growth-related initiatives and coordinates with physicians, laboratory staff, administrative teams, Information Technology, vendors, and other stakeholders to ensure effective implementation and follow-through. Reports to the Division Administrator and works collaboratively across all operational functions of the Dermatopathology Unit. Job Responsibilities: Operations & Program Coordination Coordinates daily operations, programs, projects, meetings, schedules, and initiatives across clinical, technical, laboratory, and administrative teams. Manages timelines, logistics, resources, communications, action items, and follow-up with internal and external stakeholders to support successful implementation and ongoing operations. Workflow & Process Optimization Supports the development and implementation of operational workflows and process improvements; coordinates changes across teams, tracks progress, identifies barriers, and follows up on outstanding issues. Laboratory Operations Coordinates operational needs related to specimen routing, equipment and facilities, service contracts, purchasing, supplies, and other laboratory initiatives. EMR & Systems Coordination Supports EMR integrations and related workflows, coordinating with Information Technology, laboratory teams, vendors, and other stakeholders on implementation, testing, issue resolution, and optimization. Growth & New Program Implementation Supports expansion of Unit services and capabilities, including implementation of new testing and laboratory services and transitioning outsourced testing, such as HPV typing, to in-house processing. Reporting & Documentation Prepares and maintains program and project documentation, records, status reports, presentations, agendas, memos, correspondence, and other materials; performs basic analysis as needed. Research Program Support Supports research program administration by organizing and tracking research data and documentation and assisting with research-related administrative activities. Administrative Support Coordinates departmental administrative processes, including, purchasing, reimbursements, expense reports, invoice payments, and maintenance of departmental records. Minimum Qualifications: To qualify you must have a Bachelor's degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multi task while paying attention to details. Preferred Qualifications: Qualified candidates must be able to effectively communicate with all levels of the organization. NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $61,288.35 - $67,567.50 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need.
