RMA Coordinator

Job Description

Our client is seeking a highly organized and professional RMA Coordinator (Project Coordinator) to manage Return Material Authorization (RMA) activities from initial customer return through final resolution. This role serves as the primary liaison between customers, suppliers, and cross-functional teams, ensuring returned products are properly documented, tracked, evaluated, dispositioned, and returned in accordance with company procedures and customer requirements.

This is not a typical administrative RMA position. The ideal candidate has project coordination experience and can manage multiple RMAs simultaneously while driving processes from start to finish. They will work closely with Engineering, Quality, Production, and Project Management teams, to support product evaluations, repairs, warranty determinations, supplier returns, and final disposition activities.

Success in this role requires strong organization, professionalism, attention to detail, and a genuine interest in learning technical products, repair processes, and failure analysis. This position is both desk-based and being in the shop observing the testing of products.

Key Responsibilities

• Manage RMAs from initiation through final resolution, ensuring timely completion of all required activities.

• Serve as the primary point of contact for customers, suppliers, and internal stakeholders throughout the RMA process regarding status, documentation requirements, and return instructions.

• Track multiple RMAs simultaneously through evaluation, testing, repair, and final disposition.

• Coordinate the receipt, inspections, evaluations, testing, supplier repairs, and disposition of returned products.

• Observe and participate in product testing activities while documenting findings, repair recommendations, and next steps.

• Collaborate with Engineering, Quality, Production, Purchasing, Logistics, and Project Management teams to facilitate issue resolution and warranty determinations.

• Maintain accurate records, reports, status updates, and documentation within company systems.

• Coordinate supplier returns, replacement products, final customer deliverables, and supporting documentation.

• Support root cause investigations, corrective actions, continuous improvement initiatives, and timely closure of open RMAs.

This is a contract‑to‑hire position, and only candidates able to commit to long‑term employment will be considered. Compensation ranges from $25-40/hr, based on relevant experience, plus benefits including health, dental, vision, 401(k), and paid holidays.

Skills and Requirements

• Previous experience coordinating RMAs, product returns, warranty claims, repair activities, or nonconforming material processes.

• Experience working within ISO 9001 and/or AS9100 quality environments.

• Project coordination or project management experience within a manufacturing, quality, service, or repair organization.

• Exposure to product testing, quality inspections, repair operations, technical troubleshooting, or failure analysis.

• Strong professionalism and customer communication skills.

• High attention to detail with exceptional organizational and multitasking abilities.

• Experience creating and maintaining reports, documentation, records, and tracking systems.

• Proficiency with Microsoft Word, Excel, and ERP/MRP systems.

• Ability to learn technical products, components, and testing procedures. • Exposure to product testing, quality inspections, repair operations, or technical troubleshooting.

• Familiarity with gas turbines, power generation equipment, rotating equipment, or other industrial hardware.
