Overview Job Location: Immersion Residential LLC - Boynton Beach, FL 33426 Position Type: Full Time Education Level: High School Diploma or Equivalent (Bachelor of Science degree preferred) Salary Range: $40,000.00 - $65,000.00 Salary Travel Percentage: None Position Purpose The Office Manager is under the supervision of the Executive Director and is responsible for collaborating with the Executive Director to ensure administrative needs are met. Qualifications Education: Bachelor of Science degree preferred. Minimum of a high school diploma or GED required. Experience: 1 to 2 years of experience in a similar position or similar function. Must have two years of continuous sobriety prior to hire if a recovering alcoholic or drug addict and participate in a self-help program. Current (five years) of no felonies or substance abuse convictions. Knowledge and Training Required at Time of Hire: Knowledge in financial practices; ability to interact with staff and patients in a professional manner; ability to coordinate and manage multiple tasks with attention to detail; adhere to confidentiality requirements as outlined in 42 CFR, Part 2; computer literate with experience in a Windows environment; ability to work independently with minimal supervision; ability to prioritize work and responsibilities; knowledge of the Principles and Practices of the discipline of account billing and collections. Age Specific Individuals Served/Responsibility: Adults/Adolescents Areas of Responsibility to Position Office Manager Responsibilities: Answer the main phone line and transfer calls or take messages. Manage incoming and outgoing mail. Ensure office equipment is maintained and operational. Maintain financial records for the Company including monthly expense reports. Enter data into the computer system and maintain accuracy. Attend quarterly meetings for committees: Performance Improvement, Leadership/Administrative, Safety and Risk Management. Identify as the IT designee and manage related responsibilities. Maintain proper attendance and limit unexcused absences per policy. Participate in Management Team Meetings as needed. Oversee front office to remain orderly, safe, and professional; manage reception duties and interactions with clients, guests, vendors, and emergency services. Check office supply stock weekly and submit orders for items running low. Oversee administrative functioning of the facility in an organized and professional manner. Ensure compliance with Federal, State, and local regulations. Coordinate with property management for maintenance issues. Create ID badges for all incoming hires. Ensure compliance with State licensing and Joint Commission requirements. Protect patient privacy per GRNH, LLC policies, procedures, and applicable laws; report concerns regarding privacy policies as required. Access PHI only to the extent necessary and share with intended recipients on a need-to-know basis. Promote a respectful work environment and respond to privacy policy concerns to the supervisor. Perform other duties as assigned. HR Designee Responsibilities: Onboarding and offboarding employees in a timely manner. Utilize Paycom HRIS daily to perform HR functions. Identify as the Audit Staff for HR and prepare for on-site audits. Ensure required training per State, Federal and Joint Commission requirements. Facilitate applications, background checks, and offer letter preparation. Monitor compliance with State, Federal laws, licensing, and Joint Commission requirements. Maintain accurate and confidential HR records. Participate in HR and facility committee meetings; respond to information requests from agencies. Attend disciplinary meetings, terminations, and investigations; schedule training for HRIS timekeeping and benefits. Serve as an employee resource and advocate; maintain a supportive environment in HR. Review employee time sheets for payroll accuracy; handle inquiries and refer complex matters as needed. Coordinate pre-employment requirements (health, paperwork, ID badge, etc.). Answer questions about offers and benefits; provide policy guidance to employees and management. Compliance and Privacy Protect the privacy of all patient information in accordance with GRNH, LLC’s privacy policies, procedures, and practices, and applicable federal and state law. #J-18808-Ljbffr
