Description

The Kentucky Department of Juvenile Justice is a multi-faceted agency that serves juveniles of theCommonwealth. While striving to hold youth accountable for their actions, the Department creates opportunitiesfor sentenced, committed, probated, or detained youth to develop social and career skills that will equip themfor re-entry into their communities as productive and responsible citizens.

This is a highly responsible position in the Justice and Public Safety Cabinet. The employee is expected toperform all duties to the best of their ability, act in a responsible manner at all times, demonstrateleadership qualities, and treat all staff, youth, and persons with respect. This is a demanding position thatrequires maturity, reliability, and self-discipline. Career growth and advancement are encouraged throughtraining and mentoring opportunities.

Responsibilities include, but are not limited to, the following:
  • Provides professional administrative support in the review, evaluation, development and implementationof the agency's activities.
  • Compiles and researches information as needed for reports and communications to include district monthlyreports, car logs, sick leave, workman's comp, FMLA, electronic monitoring usage, and OSHA reports.
  • Draftscorrespondence such as monthly reports to supervisor, staff meeting itineraries and minutes and staff itineraries.
  • Maintains district files and initiates various actions for supervisor's review and direction.
  • Prepares personnel documents and maintains employee personnel files.
  • Provides forms to new staff,obtains appropriate signatures and submits appropriately.
  • Advises on and reviews documents.
  • Follows up onactions and communicates with appropriate personnel.
  • Maintains in-depth knowledge of personnel and payrollrules, regulations and policies and disseminates information and materials as needed.
  • Maintains an in-depth working knowledge of departmental rules, regulations and policies.
  • Researches avariety of situations in order to provide technical assistance and advice when necessary.
  • Receives generaldirectives and adheres to rules concerning distribution and maintenance of same.
  • Receives, reviews and records employee time.
  • Enters hours into the payroll system for two pay periodsper month.
  • Communicates with staff about any information pertinent to payroll and timekeeping activities.
  • Serves as back-up timekeeper.
  • Maintains employee personnel files.
  • Ensures that all applicable information is managed and distributed to appropriate staff in a timelymanner.
  • Submits monthly Sick Leave Report.
  • Enters staff training hours.
  • Reviews and submits employee travelvouchers.
  • Regularly updates Community Services Directory and inventory listings, e.g., pager and cell phones.
  • Assists supervisor in providing, reviewing and processing documents necessary for the employeeperformance evaluation system during the required timeframes.
  • Completes and submits appropriate documentsconcerning Family Medical Leave (FML) and workers comp.

Minimum Requirements

EDUCATION: Graduate of a college or university with a bachelor's degree.

EXPERIENCE, TRAINING, OR SKILLS: One year of professional, administrative, or business experience.

Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.

Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

SPECIAL REQUIREMENTS (AGE, LICENSURE, REGULATION, ETC.): NONE

Working Conditions

Incumbents working in this job title primarily perform duties in an office setting.

Probationary Period

This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
