Administrative Assistant

Job Title: Administrative Assistant

Location: Ashland, VA 23005 (On-site)

Duration: 6 Months (Temp to Hire)

Shift: Monday – Friday, 8:00 AM – 5:00 PM (40 hours/week)

Role Overview:

Your job will be to review, analyze, process, and document parts requests. You will handle customer inquiries, process orders, and ensure accurate parts delivery according to company standards in a heavy call-volume environment.

Key Responsibilities:

  • Order Processing: Process customer Purchase Orders (POs), manage returns paperwork, and Issue credits/debits.
  • Parts Research: Research inquiries for replacement, foreign, obsolete, inactive, and external vendor parts.
  • Customer Support: Resolve customer inquiries via phone and email while handling a high volume of calls.
  • Quoting & Invoicing: Provide prompt and accurate material quotes to internal and external customers.
  • Problem Solving: Identify and resolve order discrepancies quickly.
  • Special Projects: Lead special assignments and other administrative duties as assigned.

Qualifications/Skills:

  • Education: High School Diploma or GED required.
  • Experience: 2+ years of customer service experience in a heavy call volume environment.
  • Software Skills: Working knowledge of MS Word, Excel, and heavy Outlook.
  • Technical Skills: Ability to read, interpret, and comprehend technical drawings and specifications.
  • Communication: Effective verbal and written communication skills.
  • Traits: Strong organization skills and high attention to detail.
  • Elevator parts knowledge or 5+ years of elevator technical experience.
