Accounts Payable Clerk

Job Summary The Accounts Payable Clerk reports to the Office Manager and is responsible for ensuring the payment of all vendor invoices in accordance with company policy. The role processes daily company business transactions to maintain effective, efficient, and accurate financial and administrative operations. Essential Functions Receive and verify invoices for goods and services, process receiving reports and vendor invoices according to payment terms and company policy. Follow up on billing statements to ensure invoices are resolved within payment terms, discounts are taken, and invoice batches are sent timely; reconcile invoices to billing statements. Provide regular communication to management regarding the status of invoice payments and receiving reports. Create monthly and quarterly closing statements and related reports. Communicate with vendors via phone, e‑mail, mail, or in‑person to arrange payment for delinquent accounts. Complete credit applications and forward them to management for approval. Investigate and resolve vendor inquiries promptly. Perform additional tasks as required. Additional Functions May work on various projects as assigned by management. Qualifications Proficient with 10 key machines, MS Office, with an emphasis on Excel spreadsheets. Excellent written and verbal communication skills in English, particularly telephone skills. Proven interpersonal skills and ability to work successfully in a team environment. Strong organizational and multi‑tasking abilities; detail oriented. Experience applying enthusiastic collection efforts. Understanding of general business operating procedures and proficiency in data entry. Typical Physical Activity Physical demands/requirements include standing, sitting, walking, stooping, driving, grasping, moving equipment, pushing, pulling, reading, speaking, hearing, and lifting up to 30 lbs. Typical Environmental Conditions Work occurs on public roads, inside general offices, at customer locations, and in areas of a typical industrial laundry facility, service center, or depot.
