Payroll Specialist, Intake

Summary The Payroll Specialist for Payroll Intake/Upload will effectively and accurately use automated methods and systems to access emailed timesheet and billing backup documentation from assigned mailboxes, apply macros to rename each document attachment, update tracking spreadsheet by brand as having received the data, and distribute processed documentation back to the respective brand’s shared access area for Field payroll to process for payment. The Intake Specialist will also be tasked with uploading verified data in respective brand Bullhorn from Vendor Management Systems (VMS), Kronos (Montefiore) and ad‑hoc special payments (holiday bonuses) into Bullhorn Time & Expense for processing in a timely manner. Responsibilities Collect and process documentation received from various Ingenovis brand Field payroll inboxes, ensuring accurate intake and timely delivery to Field payroll. Handle Bullhorn file management for assigned brands, including extensions file for Match List and Time Off Policy updates, pulling and reviewing departments/placements/assignments reports from BH Canvas, and reviewing auto‑produced EMP files across all ADP fields. Run required ADP custom reports after each EMP file is loaded, and use FileZilla or WinSCP to send reporting results back to the appropriate Bullhorn instance. Maintain Time Off Policy assignments within ADP for Sick accruals by Ingenovis brand and run the Time Off Import Template by ADP company code to update balances weekly. Create and load Ingenovis Health Accruals Balance reports to BTE and provide a shared location for Front Office access by brand. Work flexible hours, being open to working Sunday‑through‑Thursday for timely document intake and Monday‑through‑Friday for upload, off‑cycle intake, file processing, reporting, and ticket research/resolution. Test and document new and existing systems and processes to improve overall functionality. Develop internal working relationships across the business to drive growth and results. Collaborate with cross‑functional teammates, leaders, and stakeholders to strategically implement solutions. Work across all companies: Fastaff, USN, Trustaff, and other brands as needed. Perform additional duties as requested by management. Requirements and Experience The minimum education required for this position is a High School Diploma; an Associate’s or Bachelor’s Degree in accounting or business is preferred. The minimum related experience required is 1–3 years, preferably in an in‑house payroll processing environment, with knowledge of payroll related practices, taxes, and withholding. Working knowledge of Bullhorn and Bullhorn Time & Expense (BTE) is preferred, with ancillary understanding of Workday, ADP Wage Payments, and SmartCompliance. One year of experience in a healthcare and/or staffing environment is required. Key skills include: Excellent written and verbal communication. Strong interpersonal and confidentiality skills. Ability to follow instructions and work independently. Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint. Effective prioritization, multi‑tasking, and time‑management in a fast‑paced environment. Calm and professional demeanor under high‑stress situations. Physical Demands and Work Environment Ability to use sensory skills to communicate and interact with employees and the public through telephone, email, video conference, and face‑to‑face contact. Manual dexterity, visual acuity, and hearing acuity required to operate office equipment such as computer, copier, scanner, camera, phone, headset, keyboard, and mouse. Sit for extended periods with low periods of reaching and standing. Lift up to 15 pounds at times.
