Reports to: Communications and Operations Director Compensation: $96-109k/year Hybrid workplace, including weekly meetings in Oakland or SF, CA Job purpose The Operations and Finance Director is responsible for the operational effectiveness, financial stewardship, and organizational infrastructure that enables the organization to fulfill its mission. Reporting to the Director of Communications & Operations, this position provides strategic and hands‑on management for finance, accounting, human resources, operations, and board governance support. Duties and responsibilities Operations (20%) Lead the organization’s administrative and operational systems to ensure efficient, effective, and mission‑aligned operations Develop, document, and improve organizational policies, procedures, and internal systems Oversee office administration, records management, and organizational contracts Coordinate facilities, equipment, and operational resources to support staff and programs Risk Management and Compliance Coordinate the organization’s risk management efforts by identifying operational, financial, legal, and organizational risks Develop and maintain internal controls, financial policies, and administrative procedures that reduce organizational risk Human Resources (30%) In consultation with the leadership team, ensure compliance with state, federal and local employment laws and regulations, as well as compliance with the union collective bargaining agreement (CBA) Administer payroll, employee benefits, retirement plans, and required employment reporting Coordinate employee onboarding, offboarding, and personnel record‑keeping Manage recruitment, hiring, employee handbook maintenance, and HR policy implementation Partner with the leadership team to strengthen organizational culture, employee engagement, and professional development Coordinate logistics for staff and board retreats, meetings, and celebrations including birthdays and work anniversaries Finance (25%) Bookkeeping Oversee all accounting functions, including general ledger, accounts payable, accounts receivable, payroll, cash management, and bank reconciliations Maintain and update donor database (Action Network) and ensure data integrity Budgeting and Reporting Prepare accurate quarterly and annual financial statements and budget‑to‑actual reports In partnership with the Leadership Team, develop the annual organizational budget Monitor organizational cash flow and maintain financial forecasts to support strategic decision‑making Prepare grant budgets and financial reports for organizational programs as well as fiscally‑sponsored project(s) as needed Coordinate annual preparation of the organization’s IRS Form 990 with the outside tax preparer Serve as liaison with banks, investment advisors, insurance brokers, and other financial partners Manage the investments of the organization in keeping with established priorities Fundraising/Special Events (15%) Lead the collection of annual coalition member dues Provide project management for JWJ’s annual gala Support grassroots fundraising efforts General JWJ program, governance & administration (10%) Actively contribute to organization‑wide events and projects, supporting JwJSF’s overall mission. Support the overall function and coordination of the E‑board and Steering Committee Actively participate in organization‑wide efforts, including facilitating staff meetings on rotation, and contributing to staff retreats and strategic planning processes Other duties as assigned. Required Skills and Experience 8+ years combined previous work experience in finance and operations administration, ideally in a nonprofit setting Demonstrates a commitment to combating racial, gender, and class oppression in their organizational practice and participation Deep expertise with general ledger, accounts payable, accounts receivable, payroll, cash management, and bank reconciliations Exceptional time management and prioritization skills to consistently meet deadlines while working independently in a remote/hybrid setting Strong project management skills, including ability to coordinate timelines, due dates, materials, GDrive files, and follow through on collaborative efforts to meet deliverables Strong verbal and written communication skills; ability to communicate effectively both online and in person Strong tech aptitude; capacity to quickly learn and utilize new systems Strong people skills; can function well within a team environment Self‑reflective, commitment to developing emotional intelligence; awareness of individual positionality as well as power in the workplace and in movement spaces Capacity to juggle competing priorities and deadlines; organized and efficient Flexible and able to multitask; ability to adapt to a changing work environment Physical requirements Ability to work at a computer for extended periods of time; ability to communicate via phone and email May need to lift and carry up to 25 pounds (accommodations available if needed) Travel: must be able to travel weekly within the SF Bay Area, and occasionally state or nationwide #J-18808-Ljbffr Jobs With Justice
