Title – VITA Coordinator

Reports to: Chief Compliance Officer

FLSA status – nonexempt

Salary - $22.00 - $32.00 / hour

Part-time Variable hours per week depending upon scheduling of duties/October through May

Summary of position

The VITA Coordinator is responsible for overseeing, managing, and coordinating the VITA program at Southern Chautauqua FCU. The Coordinator will be responsible for ensuring the success of the Credit Union ‘s VITA program by coordinating training, maintaining IRS and program compliance.  The VITA Program Manager will report to the Chief Compliance Officer and Management Team.

Principal Duties & Required Skills

•    SCFCU expects regular attendance and punctuality. This means being in the workplace, ready to work, at your scheduled start time each day and completing your entire shift. Employees are also expected to return from scheduled meal and break periods on time.

• Volunteer Training & Development

• Plan and conduct training sessions on Federal and New York State individual income tax law.
• Assist volunteers in obtaining and maintaining required IRS certifications.
• Develop training materials and reference resources.
• Provide ongoing coaching and support throughout the tax season.
• Communicate tax law updates as needed.

•  Tax Law Expertise & Support

• Serve as the primary point of contact for tax law questions from volunteers and staff.
• Research and interpret Federal and New York State tax regulations.
• Ensure returns are prepared within the scope of the IRS VITA program.
• Provide guidance on complex returns and unusual filing situations.

•    Quality Review & Compliance

• Conduct or oversee quality reviews of completed tax returns.
• Ensure compliance with IRS Volunteer Standards of Conduct and Quality Site Requirements.
• Monitor return accuracy and identify opportunities for additional training.
• Assist in resolving rejected returns and filing issues.
• Promote consistency and adherence to program procedures.

•     Program Coordination

• Coordinate tax preparation workflow among volunteers and staff.
• Assist with scheduling training sessions and tax preparation days.
• Monitor program activity and filing volume throughout the season.
• Maintain required reports, records, and documentation.
• Communicate regularly with program participants and Credit Union leadership.

•     Community Service & Member Support

• Foster a positive volunteer experience.
• Support the Credit Union's commitment to providing free tax preparation services to the community.
• Promote professionalism, accuracy, and exceptional member service.

•     Language Ability: High Skills : Ability to read and interpret business and technical documents, write reports and correspondence, and present information effectively.

•     Math Ability: High Skills: Ability to apply mathematical concepts such as statistical inference, geometry, and algebra to practical situations. 

•     Reasoning Ability : High Skills: Ability to solve practical problems and interpret a variety of instructions in written, oral, diagram, or schedule form. 

•     Computer Skills : Word Processing Software Spreadsheet Software Accounting Software 

Supervisory Responsibilities – none

Education/Experience Requirements

• Complete training for and obtain advanced tax preparation certification, other specialty areas offered, site coordinator certification, and attend all IRS required trainings. 
• Preferred experience of three (3) years in tax preparation and quality review of tax returns prepared by others. 
• Strong communication and administrative skills including excellent interpersonal skills to interface with volunteers, partners and program participants in a supportive manner 
• Possess computer skills and ability to use virtual tools 
• Valid Driver's license and personal vehicle, countywide travel is required
• Strong organizational, communication, and problem-solving skills.
• Ability to effectively teach and mentor volunteers.
