Administrative Specialist

The Administrative Specialist provides support to the Sr. Director of Medical Group Operations. The Administrative Specialist is responsible for handling office tasks such as generating reports, scheduling meetings, managing Sr. Director's meetings to prevent conflicts, setting for meetings, ordering supplies, taking meeting minutes and distributing to office management, lead providers and senior leadership. Administrative Specialist are expected to keep the highest level of professionalism and confidentiality. Administrative Assistants should work collaboratively with external and internal customers and manage those relationships on behalf of executives when required. Administrative Specialist are expected to have strong organizational, presentation, written communication, and a strong comfort around authority.

Essential Duties and Responsibilities include the following:

• Coordinate meetings to avoid conflicts
• Provides administrative support to ensure efficient operation of office.
• Answers phone calls, schedules meetings and supports visitors.
• Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
• Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
• Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
• Exhibits polite and professional communication via phone, e-mail, and mail.
• Supports team by performing tasks related to organization and strong communication.
• Create on-boarding binders
• Provides information by answering questions and requests.
• Proficient in Microsoft excel and Word
• Submission of expense reports
• Taking Office Manager Meeting minutes and disseminate to attendees
• Generating meeting agenda in collaboration with Director
• Data trending
• Data entry
• Generating reports from EMR
• Generating statistical reports
• Maintain clinic auditing logs up to date
• Excellent grammar skills
• Excellent organizational skills
• Ability to interact at all levels of an organization
• Work independently or as part of a team.
• Maintains professional attitude and demeanor.
• Experience with clinical applications preferred.
• Knowledge, experience and understanding of the managed care industry experience encompassing multiple aspects of healthcare operational activities preferred.

The pay range for this position at commencement of employment is expected to be between $26- $28 per hour; however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, licensure, skills, and experience.

The total compensation package for this position may also include other elements, including a sign-on bonus and discretionary awards in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered.

Education and / or Experience:

• Bachelor's degree required, preferably in public or information management.
• 2 - 5 years experience in related area. Knowledge of Healthcare and Managed Care preferred.
• Typing 60 words per minutes with accuracy.
• Knowledge of computers, faxes, printers and all other equipment.
• Proficient in MS Office programs (i.e., Word, Excel, Outlook, Access and Power Point).
• Excellent communication skills and ability to work in a team atmosphere.
• Ability to work in a multi-task, high stress environment.
• Strong analytical and problem solving capabilities.
• Highly motivated, proactive personality.
