Conduct site visits and pre-event meetings with clients to finalize details and ensure expectations are met. Collaboration with Internal Teams Partner with the sales, catering, and banquet teams to ensure seamless event execution. Communicate event details and requirements to all departments, including operations, culinary, and front office staff. Oversee event logistics to ensure a smooth flow from setup to breakdown. Budgeting & Contract Management Develop and manage event budgets to ensure costs align with client agreements. Prepare contracts, event orders, and proposals while ensuring compliance with hotel policies. Monitor billing and payments to ensure financial accuracy. Execution & On-Site Event Management Serve as the primary point of contact for clients before and during events. Ensure all event components—such as catering, room setup, and technology—are executed flawlessly. Troubleshoot any issues that arise during the event to maintain client satisfaction. Post-Event Follow-Up & Client Relations Gather client feedback to assess event success and identify areas for improvement. Foster long‑term relationships with clients to encourage repeat business. Maintain a high level of customer service and professionalism to uphold Hyatt’s brand reputation. Identify upselling opportunities for catering, room blocks, and additional services. Support the sales team in securing new event business through referrals and networking. Stay updated on industry trends and competitor offerings to enhance Hyatt’s event services. What We are Looking for in a Hotel Event Planning Manager includes: High school diploma or equivalent Demonstrated experience with a strong focus on guest satisfaction. Exceptional ability to manage time effectively and stay organized in a fast‑paced environment. Excellent skills for engaging with guests and collaborating with team members seamlessly.
