Our company is looking for a Executive Sales Assistant to join our team.

Responsibilities:

  • Help in managing and distributing incoming emails and calls for the Sales department (leads and referrals);
  • Frequent business customer communication (B2B support);
  • Assist with organizing client proposals and tracking opportunities;
  • Build, maintain, and update templates for contracts and forms;
  • Build, maintain and update dashboards using Salesforce;
  • Assist with sending contracts and agreements;
  • Build and deliver reports to management and various sales departments, based on expressed needs using Salesforce;
  • Assist with setting up new leads, contacts, and projects and updating existing projects;
  • Various other administrative assistant duties and sales admin support functions as needed;
  • Act as a point of contact for the sales department and provide information and resources as requested.

Requirements:

  • Previous experience with Salesforce.com;
  • Must be Proficient in Outlook, Microsoft Word, Excel and PowerPoint;
  • Ability to work under general direction, on multiple tasks with demanding timelines;
  • Ability to work effectively with team members on varying levels of the organization;
  • Demonstrated organization skills and attention to detail;
  • 2-5 years of administrative experience (experience supporting a Sales team is a big plus);
  • Track sales orders to ensure that they are scheduled and sent out on time;
  • Must be computer proficient;
  • Manage all the sales related activity of the company;
  • Handle a high volume of customer inquiries while providing a high quality of service to each caller;
  • Act as administrative assistant to the Sales Team or other designated management;
  • Ability to project a professional demeanor;
  • Respond to sales inquiries via phone, email and in writing as directed by the Sales Team or account executives;
  • Carry out administrative tasks such as data input, processing information, completing paperwork and filing documents;
  • Speak with customers using clear and professional language.
