Incumbent is involved in a variety of administrative duties involving judgement in the application of relatively standardized administrative precedents, policies and procedures to a particular program area of an agency, institution or department. Assists the general public in responding to phone calls and emails, and directing them to appropriate staff;
Process all documents received by the section, upload to SharePoint when appropriate, and send documents to appropriate staff members;
Assists in administrating staff functions and in preparing administrative reports in support of program area;
Processes and maintains detailed paperwork and files relating to function of unit;
Maintains an accurate personal calendar and assists with scheduling staff meetings;
Provides Program assistance including billings and contacts packet updates, mailing creations and coordination, tracking, notifications, and assisting with the publishing of public notices;
Responsible for Virtual File Cabinet (VFC) indexing, and scanning/uploading as assigned;
Complete all special projects assigned by the Branch and Sections Chiefs and within the specified time period; Assists Branch Chief, Section Chiefs, and E7's as needed for special projects.
Salary Statement: The salary for this position traditionally starts at $34,216.00 but may be commensurate with education or work experience.
Works as a professional staff assistant within a state agency or organization performing multiple administrative tasks. Reviews policies, plans and procedures for administrative soundness. Answers inquiries from the public concerning policy and procedures in assigned area. Monitors and documents activity occurring in their respective department to ensure compliance with applicable federal, state, and local rules and regulations.
Specialized knowledge of the basic principles and theories of administrative management. Attention to detail and proofreading skills. Ability to use Microsoft Office Suite (Word, Excel, Outlook). Ability to analyze procedures and policies and write procedural manuals and recommend improvements. However, a High School Diploma or High School Equivalent (HSE) and at least 4 years of experience applying the outlined knowledge, skills, and abilities in a similar role may be considered.
