Accounts Payable Clerk

Job Description

Performs nonsupervisory clerical and accounts payable work. Maintains fixed asset information for all departments.

Distinguishing Features of the Class: An employee in this class is responsible for processing accounts payable transactions and serving in a general clerical support role. Emphasis of the work is on receipt of bills and payment requests from creditors, resolving routine to complex payables issues, writing checks, processing payments, and balancing payables to general ledger. Work is performed under the supervision of a technical supervisor or other administrative superior and is evaluated on the basis of accuracy, resolution of payment issues, and customer service.

Illustrative Examples of Work

Sorts and distributes mail to departments. Serves as back-up and assistance to other staff in department. Primary backup to the Customer Service Representative. Performs data entry in accounting system. Prepares and verifies accounts payable for entry and approval. Prepares and maintains computerized records. Assists departments with research and corrections to accounts payable and fixed asset related items. Research and resolve outstanding invoices and statements from creditors.

Creates and maintains fixed asset records, including asset tagging, physical inventory and accounting. Scans appropriate invoices for internal use. Distribution, filing and data entry of invoices. Maintains spreadsheets and files for various statement invoices. Assists with the annual financial audit preparations.

Performs general clerical duties such as filing, typing, answering telephone, etc.

Handles surplus property process to include the listing of items for auction, facilitating and executing the sale to the appropriate party, and recording the disposition and depreciation of assets in the accounting system.

Utilizes various types of machinery and equipment including computer, copier, adding machines, and general office supplies.

Utilizes various computer programs.

Performs other related duties as assigned.

Knowledge and skills in providing customer service. General knowledge of generally accepted accounting procedures; general knowledge of bookkeeping terminology and methods, procedures and equipment; general knowledge of City ordinances, policies and procedures, standard office procedures, practices and equipment; ability to understand and follow oral and written directions; ability to follow detailed work procedures; ability to post accounts and to perform mathematical computations with speed and accuracy; skill in the use of personal computer and a variety of office machines; ability to establish and maintain effective working relationships with associates and the general public.

Qualifications

Physical Requirements: Work requires the ability to communicate effectively, dexterity in the hands for typing and operation of standard office equipment and visual acuity to read handwritten and typewritten materials and operate a computer terminal. Employees may be required to lift objects of less than 20 lbs. occasionally.

Working Conditions: This position is sedentary in a controlled office environment without atmospheric variables.

Education and Experience: Graduation from high school or GED equivalency and 2-4 years' work experience in accounts payable, accounting, or bookkeeping. Proficiency in Microsoft Office Suite and Adobe Acrobat Pro. An associate's degree in accounting is preferred.

Special Requirements: Valid North Carolina Driver's License required. NC Notary Public.
