Job Description
The Stanford King Center on Global Development is a Stanford University research center working to improve the lives of the world's poor. Operating under the Stanford Institute for Economic Policy Research (SIEPR), the Stanford King Center catalyzes Stanford's distinctive strengths in global poverty and development research to turn path-breaking research into real-world results. To this end, the King Center supports research initiatives that unite Stanford faculty working on different areas of international development, including big data for development, governance and service delivery in Africa, conflict and polarization, and global productivity and economic growth. The King Center provides hands-on research and experiential learning opportunities for students eager to explore the challenges and opportunities of the developing world, and funds original student research. The center aims to help shape policy and practice by sharing insights from center-supported research. The center disseminates research by its affiliated scholars through events, digital media and policy notes and works to foster discussions about successes and challenges in poverty alleviation and global development.

POSITION SUMMARY:


The Stanford King Center on Global Development seeks an Administrative Associate to provide administrative and operational support for the King Center's programs, activities, and events. The Administrative Associate will be the first contact for inquiries about the center and its programs and the liaison for center visitors. The Administrative Associate will provide administrative support for student programs and faculty research initiatives and work with the center's event planner in planning and executing conferences, speaker series, and other events throughout the year. The Administrative Associate will process a variety of financial transactions using Oracle Financials, support travel arrangements including international travel, and other duties as assigned.
The successful candidate is a highly motivated self-starter and should thrive on interacting with multiple constituents and supporting a variety of projects in a fast-paced environment. We are looking for a friendly and efficient team member to provide informed, coordinated, timely, and proactive support. The ability to foster community with students, faculty, and staff is central to the job. This position reports to the King Center's Administration and Finance Manager. This is a 100% FTE on-site position. Past experience at Stanford is a plus.

CORE DUTIES:


Respond toinquiries, anddetermine andtakeappropriate action asrequired. Serve as aresourceregardingadefinedsetof policies andprocedures.
Perform dutiesassociated withscheduling, organizing,andoperatingconferences, seminars, andevents, includingrecommendingvendors forservices,overseeing theproduction anddistributionofmaterials,coordinating logistics,andservingasliaisonwithinternalandexternal vendors.
Draftand/or generate routinecommunications;coordinate production(formatting, copying, etc.) anddisseminationof documents,suchaspresentations,course handouts,grantproposals, conference andseminar materials,reports,brochures,anddisplays.
Planandschedulecalendar(s) basedonconsultation, resolvecalendaring conflicts,andarrange travelincompliance withunit, university, andsponsor policies.
Process and monitor routine financial transactions, which may include researching and resolving discrepancies.
Maintainoffice suppliesand equipment;obtain vendorquotations,as needed. Coordinateoffice moves.
Mayserveasthepointofcontactforgeneralmaintenance,healthandsafety,andother facilityconcerns withintheunit(s);reportanyincidentsorpotentialsafetyproblems toappropriate representatives.Trackcompletionofrequiredtraining.
Maintain approved content on websites.
May perform human resourcestransactionalsupport, e.g.timecards, 19s, and/orfacultyaffairs support.
Mayguideandtrainstudentand/orcontingentworkersincludingscheduling,assigning,andprioritizingworkloads,settingappropriatedeadlines,andreviewingworkforqualityandtimeliness.

Education & Experience:
High school diploma and three years of administrative experience, or combination of education and relevant experience.
Knowledge, Skills and Abilities:
Proficient computer skills and demonstrated experience with office software andemail applications.
Demonstrated success in following through and completing routine tasks.
Strong organizational skills and attention to detail.
Strong verbal and written communication skills.
Excellent customer service and interpersonal skills.
Ability to prioritize and multi-task.

The expected pay range for this position is $31.97 to $38.40 per hour.
