Human Resource Assistant III or Human Resource Representative

Hiring Department: University Housing and Dining

This position supports approximately 1,500 students (part-time and full-time) and a large Spanish-preferred workforce, performing professional-level human resource duties, coordinating and administering HR support. It serves as the first point of contact for employees and applicants, providing customer service for University Housing and Dining Human Resources Office. The role requires use of HR knowledge and advanced administrative skills, initiative, and judgment.

Responsibilities Serve as the initial point of contact for the Human Resources office. Greet employees, visitors, and students in English and Spanish; Respond to inquiries via phone, email, Teams, and other channels with timely and accurate communication.

Assist new hires in English and Spanish with completing, submitting, and tracking required employment documents. Explain HR policies/procedures and onboarding timelines to ensure compliance and a positive employee experience. Maintain confidentiality with sensitive documents and advise managers on onboarding requirements.

Provide comprehensive administrative support for the HR office. Serve as first-level support for HR inquiries received through ticketing and shared email inbox. Schedule and coordinate meetings/calendars/office activities using SharePoint and Outlook. Manage task lists, metrics, deadlines, and audits of HR processes.

Maintain and organize physical and electronic HR filing systems. Manage collection, tracking, and retention of employment documents. Perform data entry, photocopying, scanning, and secure transmission of documents. Manage incoming/outgoing HR mail and inter-office correspondence.

Coordinate with HR student employees, guiding daily tasks and monitoring work quality. Update employee position assignments and HRIS data. Support recruiting, marketing, and advertising for open positions, including student roles. Assist applicants and departments with application and hiring processes.

Complete special projects and support process-improvement initiatives. Work independently and as part of the HR team on recurring and non-recurring projects.

Required Qualifications For HR Assistant III

High School Diploma or GED

At least 4 years in a human resources function

Knowledge or skill of personal computer and office equipment

For HR Representative

Bachelor's degree in human resource management, business administration, social sciences, public administration, or a related field

At least 2 years in a human resources function

Knowledge or skill of personal computer and office equipment

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications Bilingual in English and Spanish highly preferred

Experience in Workday

Experience working in a university setting

Experience with onboarding employees and/or new hire paperwork

Experience providing administrative support for HR including scheduling, meetings, calendars, and other office activities

Ability to interpret meetings, read and translate documents, and communicate effectively in English and Spanish

Salary Range Human Resource Assistant III: $48,000+ depending on qualifications

Human Resource Representative: $52,500+ depending on qualifications

Working Conditions May work around standard office conditions
