Administrative Assistant
The Office of Judicial Administration is responsible for the efficient administration of all agencies that operate under the direction of the Chief Justice and the Supreme Court. fiscal management; legal services; The Office is headed by Interim Chief Administrative Officer Aaron Hood, who reports directly to the Chief Justice of Indiana and serves as the link between the Chief Justice and the agencies of the Court.
This position serves as an Administrative Assistant for the Office of Judge and Attorney Regulation, providing general administrative support. This position has multiple key duties, including daily mail operations (electronic and hard-copy mail), scanning and inputting grievances into the case management system, opening case files, sending out correspondence for attorneys and office manager, answering phones, and other administrative tasks as assigned.
Performs communication and administrative support for multiple attorneys, office manager, and Executive Director. Manage daily mail operations (electronic and hard copy) and maintain attorney advertising notices.
Assist with shipping and receiving packages and notifying appropriate parties of deliveries in a timely fashion.
Scan and process all grievances and uploading them into the case management system.
Send out necessary correspondence as directed by attorneys, paralegals, office manager, and Executive Director.
Mail complaint forms to inquiring individuals.
Screen and field incoming phone calls to the Disciplinary Commission and forward to appropriate persons.
Assist in scanning hard copy files for electronic storage.
Serve as back up for another administrative assistant when needed.
Assist with other additional tasks/projects as requested, including special projects.
Exercise discretion in handling confidential information and materials
Maintain personal and business affairs in a manner that ensures public confidence in the integrity, competence, impartiality, and independence of the judiciary as well as avoid situations that could lead to conflict, or the appearance of conflict
Interact with executive branch agencies, federal agencies, and judicial officers in a manner that promotes confidence and respect in the Office of Judicial Administration
Customer Service
Act as a liaison when interacting with management, staff, internal and external stakeholders to provide program specific information, answer questions, and address issues and concerns
Communicating effectively in writing as appropriate for the needs of the audience
Manage assignments to ensure all tasks are completed within deadlines
Effectively manage time and prioritization of tasks and projects
Prepare and maintain complex and confidential records in an automated system to work on numerous tasks
Learn and adapt to new technologies within the Microsoft Suite as well as Supreme Court systems
Analyze data from multiple databases to complete clear and concise reports as well as complete with recommendations
