divh2Administrative Assistant/Office Manager/h2pCaring Hands Behavioral Health Center is an Outpatient Mental Health Clinic with PRP services. We are looking for an Administrative Assistant/Office Manager to join our team. ph3Position Summary:/h3pThe Administrative Assistant of the OMHC is responsible for providing administrative support to ensure efficient operation of the office. Supports directors, managers and staff through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the fields concepts, practices and procedures./h3ulliUse persons-centered, customer service oriented, concierge services for the OMHC/liliHandle sensitive information in a confidential, respectful manner/liliAbility to work in a multi-disciplinary team/liliProvides all administrative duties included but not limited to printing, copying, mailings, faxing, filing, phones, email, responding to requests, support to clients, ordering supplies, and other duties as assigned./liliOrganize and schedule meetings and keep accurate record of meeting minutes/liliProduce and distribute correspondence memos, letters, faxes and forms/liliAssist in the preparation of regularly scheduled reports/liliEnsure operation of equipment by completing preventive maintenance requirements; maintaining equipment inventories; evaluating new equipment and techniques/liliMaintain professional and technical knowledge by attending educational workshops; establishing personal networks; participating in professional societies/liliContribute to team effort by accomplishing related results as needed/liliWrite letters and emails on behalf of other office staff/liliMaintain computer and manual filing systems/liliDevelop and coordinate office procedures and resolve administrative problems/li/ulh3The Office Manager will:/h3ulliBe responsible for opening and closing the clinic each day/liliServe as the first point of contact to welcome clients and staff to the clinic/liliConduct intake interviews and collect new client information for treatment referrals/liliEnsure effective telephone and mail communications both internally and externally, responding to intake and other requests from current and potential client families and staff/liliEnsure clinic is clean, safe, and presentable at all times/liliMaintain client and office files/liliGenerate general correspondence for staff and client families/liliProvide administrative support to the Chief Executive Officer and Clinical Director/liliSchedule staff for client treatment sessions/liliServe as liaison to all outside vendors/liliPerform or facilitate maintenance of office equipment, including cleaning, maintenance, and repairs/liliMaintain inventory of office supplies, and order additional supplies as needed/liliMaintain client and staff attendance records/liliSubmit billing for weekly client sessions/liliConduct benefit checks for potential clients/liliOther duties as assigned/li/ulh3Requirements:/h3pEducation, training experience:/Associates degree in office administration or related field preferred./lili2+ years experience as an Office Manager or Administrative Assistant required, healthcare environment preferred/li/ulh3Knowledge of:/h3ulliExtensive knowledge of office management procedures/liliTechnology, including software applications in word processing and spreadsheets (MSWord, PowerPoint and Excel)/li/ulh3Ability to:/h3ulliCommunicate effectively in both oral and written form/liliPerform general clerical duties including maintaining accurate client records and preparing clear and concise records/liliUse a computer and behavioral software to prepare documents and maintain client records/liliFollow guidance from senior-level staff to enhance own professional development/liliWork with a diverse team of professionals and clients in a respectful manner/liliHandle sensitive and confidential situations/liliJuggle multiple competing tasks and demands/liliWork independently/liliWork effectively and collaboratively within a team/li/ulh3Skills:/h3ulliExcellent organizational skills/liliExcellent customer service skills/liliDemonstrated poise, tact and diplomacy/liliHigh level interpersonal skills in order to interact effectively with clients, families, and staff/liliStrong attention to detail/liliEffective time management skills/li/ulh3Other requirements:/h3ulliUnderstanding and appreciation for children with special learning needs/liliTrack record of reliability and punctuality/liliSuccessful completion of fingerprinting and criminal history background check/liliSatisfactory reference checks/liliMust pass tuberculosis test/li/ulh3Qualifications:/h3ulliDemonstrated ability to work within diverse settings and populations/liliKnowledge of office management systems and procedures/liliExcellent time management skills and ability to multi-task and prioritize work/liliAttention to detail and problem-solving skills/liliExcellent written and verbal communication skills/liliStrong organizational and planning skills/liliProficient in MS Office, Power point and Excel/liliExperience in the field or in a related area. college degree preferred/li/ulpJob Type: Full-time/ppPay: $17-$19/hr/ppSchedule:/pulliVaries/liliMonday to Friday/li/ulpWork Location: One location/ppWork Remotely: No/pp*DO NOT APPLY FOR THIS JOB IF YOU ARE NOT PROFICIENT IN EXCEL AND MICROSOFT OFFICE.
