Office ManagerAs the Office Manager, you will manage, train, lead, and motivate the office team, while playing a key role in developing and implementing strategies that drive efficiency, enhance processes, and foster a positive company culture. Must have administrative experience in the Restoration, Construction, Plumbing, or similar industry.Key ResponsibilitiesOversee and manage all daily office functions including scheduling, correspondence, and administrative workflows to ensure smooth operations.Ensure compliance to SERVPRO standards and industry regulations by regularly auditing documentation, processes, and programsCoordinate team activities, monitor deadlines, and manage allocation of resources to ensure maximum productivity.Oversee customer interactions to maintain high-quality service standards, ensuring empathy and professionalism, promptly addressing and resolving any concerns.Oversee financial transactions, invoicing, and accounts receivables to maintain accuracy and support profitabilityHandle relationships with vendors and other franchise locations, manage office and warehouse supplies, and ensure all equipment is maintained and up to date.Manage projects, track progress, and ensure timely completion of tasks.Oversee timekeeping/payroll reportingManage subcontractor certifications, insurance, and other documentation needs.Prepare and analyze financial reports, including divisional performanceAct as the Subject Matter Expert for all office related technology and processes.Assist Senior Leadership Team as needed.Perform other job duties as assigned.Position Requirements5+ years of proven office management experience preferably within the restoration, construction, or service industryDemonstrated leadership experience with a focus on team development and fostering accountabilityStrong analytical and problem solving skills, with the ability to implement efficient solutions independentlyKnowledge of compliance and regulatory requirements in the restoration and reconstruction industriesOutstanding written and verbal communication skills including proper pronunciation, grammar, and consistently courteous and professional toneUphold honesty and transparency in all actionsExperience and ability to ensure accountability while fostering a positive and productive work environmentStrong proficiency in Microsoft Office, project management tools, and QuickBooks or equivalent accounting softwareExceptional organizational skills, with a keen attention to detail and the ability to multi-task while ensuring accuracy and focusIICRC and Xactimate certifications preferredAbility to successfully complete a background check subject to applicable lawBilingual (English/Spanish) a plusSkills/Physical Demands/CompetenciesThis is a sedentary role in a fast-paced office environment. Some filing is required which would require the ability to lift files, open filing cabinets, and bending or standing as necessary.
