Office Administrator

GTS Technology Solutions

GTS Technology Solutions is hiring an Office Administrator to support our Austin headquarters.

This is a hybrid, full-time, direct hire opportunity for someone who enjoys keeping office operations organized, coordinating internal details, supporting events and projects, and helping teams stay on track.

This is not a traditional Executive Assistant role. The position is focused on office administration, project coordination, internal follow-up, and light executive support.

Role Focus

This position is expected to include approximately:

  • 40% office administration
  • 45% project coordination and internal follow-up
  • 15% light executive support

What You Will Do

  • Support day-to-day office operations for the Austin headquarters
  • Maintain office supplies, snacks, breakroom items, coffee supplies, and general office readiness
  • Support internal office events, celebrations, socials, meetings, and employee activities
  • Partner with marketing and internal teams on event logistics, catering coordination, setup needs, supplies, and onsite details
  • Help coordinate one-off office or internal projects
  • Support follow-up related to the contracts inbox and procurement-related administrative items
  • Track action items to ensure requested updates or follow-ups are completed
  • Assist with meeting coordination, document preparation, PowerPoint updates, or presentation support as needed
  • Communicate professionally with internal teams, leaders, vendors, and visitors
  • Help create a positive, organized, and welcoming office environment

What We Are Looking For

  • Prior experience in office administration, administrative support, project coordination, executive support, operations support, or a related professional support role
  • Proficiency with Microsoft Office, including Outlook, Teams, Word, Excel, and PowerPoint
  • Strong written and verbal communication skills
  • Professional maturity, sound judgment, and discretion
  • Strong follow-through and attention to detail
  • Ability to manage multiple priorities and shift focus when needed
  • Confidence to ask questions, clarify expectations, and set boundaries when appropriate
  • Ability to take initiative and bring ideas forward
  • Comfort handling both hands-on office support tasks and coordination/project-related responsibilities

Nice to Have

  • Experience supporting senior leaders or executives in a professional office environment
  • Experience coordinating internal events, meetings, or employee activities
  • Canva, PowerPoint design, or basic visual presentation support experience
  • Experience in a fast-paced office, operations, technology, or professional services environment

Education

Bachelor’s degree preferred, or equivalent professional experience accepted
