Reporting directly to the Chief Operating Officer, this role works closely with production, logistics, event directors, and brand leadership to keep plans accurate, costs visible, and deadlines on track. The right person has event experience, strong organizational and numerical skills, and the initiative to identify issues before they affect an event. This is a hands‑on role spanning venue and vendor coordination, contracts, budgets, lodging, and post‑event reconciliation. Key Responsibilities Event operations and venues Research and evaluate venues based on event needs, production requirements, location, and budget; manage the booking process through contract execution. Coordinate venue details such as schedules, floorplans, technical specifications, load‑in and load‑out, AV, labor, security, power, access, insurance, and required documentation. Work with internal teams to maintain event plans and resolve operational conflicts or unexpected costs. Budgets and financial tracking Develop and maintain event budgets, tracking estimates, contracted costs, deposits, invoices, and actual spending. Compare proposals and costs, monitor payment deadlines, and give leadership clear updates on material budget changes. Review invoices against approved costs, resolve discrepancies with the appropriate teams, and complete post‑event financial reconciliation. Vendors and contracts Source and evaluate vendors, request and compare proposals, and negotiate rates and service terms. Maintain contracts and related records, including amendments, payment schedules, cancellation deadlines, and insurance requirements. Build reliable vendor relationships while protecting event budgets and operational needs. Lodging and documentation Source and negotiate lodging for traveling staff, talent, judges, crew, and service providers. Coordinate room blocks, rooming lists, arrival and billing details, and final lodging invoice review. Keep event trackers, contracts, budgets, venue materials, and action items organized and current; help improve templates and planning processes. Qualifications Experience in event operations, event management, production coordination, venue operations, touring, experiential events, or a related field. Ability to manage multiple events, projects, and deadlines with strong attention to detail and follow‑through. Comfort working with budgets, invoices, contracts, vendor proposals, and financial trackers. Strong communication, problem‑solving, and negotiation skills. Proficiency in Excel or Google Sheets. A bachelor’s degree in a related field is preferred; equivalent professional experience will be considered.
