Accounts Payable Specialist

Position Purpose The Accounts Payable Specialist is responsible for maintaining accurate financial records and delivering superior customer service to our business customers. The role involves executing precise 3‑way matching, processing purchase orders, resolving credit and inventory discrepancies, and continuously improving departmental efficiency through data analysis and SOP development. Exceptional communication skills, adaptability, and strong attention to detail are essential. Key Responsibilities Perform three‑way matching and process purchase orders for an operation exceeding $100MM, identifying and resolving inventory and credit discrepancies. Investigate and analyze credit and inventory discrepancies, delivering timely and accurate solutions. Develop and maintain standard operating procedures (SOPs) for accounts payable processes and use data analysis to enhance efficiency. Provide superior customer service, resolving issues involving vendors, customers, and employees in a professional and prompt manner. Manage multiple tasks in a fast‑paced environment while maintaining high levels of accuracy and attention to detail. Apply comprehensive knowledge of accounts payable processes and procedures to ensure accuracy and compliance. Perform mathematical computations (percentages, fractions, addition, subtraction, division, and multiplication) accurately and timely. Collaborate with peers in the Accounts Payable department and cross‑functionally with other department teams; report directly to the Accounts Payable Manager. Required Qualifications Proficient in Microsoft Office Suite (Outlook, Excel, Word). Experience with advanced accounts payable software and electronic data interchange (EDI) and contract management systems. Strong understanding of purchase ordering processes and enterprise resource planning (ERP) systems. Ability to manage large electronic databases and use cloud‑based financial management software. Excellent verbal and written communication skills, with the ability to articulate complex information clearly. Strong analytical and problem‑solving skills, with a focus on accuracy and detail orientation. Experience documenting and maintaining SOPs and using data analysis to improve efficiency. Ability to work independently and as part of a team in a high‑volume, deadline‑driven environment. Preferred Qualifications Bachelor’s degree in Accounting, Business Management, Finance, or related field. Advanced Excel skills (formulas, pivot tables, multi‑criteria look‑ups). Proficiency with accounting software such as QuickBooks, SAP, or similar. AP certification from the American Payroll Association. Experience interpreting and executing accounts payable department strategies and policies. Knowledge of GAAP and strong competency in comprehensive accounts payable practices. Demonstrated ability to mobilize cross‑functional teams and achieve objectives under tight deadlines. Proactive attitude toward identifying and resolving issues before escalation. Strong ethical standards, integrity, and the ability to manage stakeholder relationships and conflict efficiently. Education & Experience Minimum: High school diploma or equivalent. Preferred: Bachelor’s degree in Accounting, Finance, or related field. Minimum experience: 5 years performing analysis and research on credit and inventory discrepancies in an accounts payable department of a business with $100MM or more in annual turnover. Certifications: None required; CPA is a plus. Work Environment Location: SRS Distribution – McKinney, TX (corporate office). Work setting: Professional office environment with sit/stand desk capabilities. Travel: None required. Physical demands: Predominantly seated or standing with occasional light lifting (up to 20 pounds). Compliance: All activities performed in accordance with the Americans with Disabilities Act (ADA).
