Administrative Assistant - Tax Credit dept.

Essential Duties and Responsibilities

Monitoring rentals email

  • Sending notices for units on Master waiting list, monitoring responses
  • Printing all documents sent in by applicants to process
  • Sending notices on HC, keeping track of responses
  • Sending out all formal rejection letters and scan all rejection files to folder
  • Print all appeals, scan, and send to Resident Selection Supervisor for review
  • Enter all new transfer request, examine list, and provide status update to tenants inquiries
  • Scanning all lease transfer request, name change to Que in Re-rental folders
  • Review, complete and send out mail merge when necessary
  • Assist receptionist when they are out as needed.
  • Purge Master waiting list once yearly to determine if applicants are still interested in housing
  • Assist in translating on scheduled HPD interviews or phone calls when necessary
  • Attend to tenants inquiries at front reception
  • In charge of answering applicants/tenants calls and provide assistance
  • Providing Leasing Dept with the unit registration of the preclearances
  • Downloading applications from website
  • Enter Comments on BJ Murray for Lease Transfers
  • Education, Experience, and Licensing Requirements:
  • Proven work experience as a Receptionist, Front Office Representative, or similar role
  • Required to be fluent in Spanish; speaking and writing
  • Minimum 3 years experience in office setting
  • Minimum of 3 years using Microsoft Office (specifically Word and Excel)
  • Capable of handling multiple phone lines
  • Proficient in maintaining organization and multitasking
  • Proficient in maintaining a calm demeanor in a fast pace environment
  • Hands-on experience with office equipment (e.g., scanners and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
  • High school degree; additional certification in Office Management is a plus
