Temporary Administrative Assistant

Our client is seeking a detail-oriented and highly professional Administrative Assistant to support a team of senior advisors within a Private Wealth Management firm in San Francisco. This will be in a fast-paced, complex team environment requiring the utmost discretion and professionalism.
NOTE: This is a 12-month contract role.
Job Summary and Responsibilities:
- Maintain complex and extremely detailed calendars, including senior-level internal and external meetings and conference calls
- Prioritize meeting requests and related logistics
- Manage a high volume of phone calls and interact with high-level business leaders and clients in a professional and effective manner
- Coordinate logistics for client calls and meetings
- Respond to and follow up on requests in a timely manner
- Coordinate domestic and international travel arrangements, including visa procurement
- Process expense reports accordingly
- Prepare and distribute correspondence, agendas, letters, reports, and other documents as requested
- Support onboarding of new hires across the region
- Assist with general office administrative duties including copying, filing, faxing, archiving, shipping, managing supplies, facilities management, and event planning
- Organize and ship materials to clients as needed
- Work with conference and catering services for client engagements
- Maintain an understanding of firm policies and handle certain issues independently
Qualifications :
- 5+ years of experience supporting senior executives in a complex environment, preferably in financial services, private sector, or government
- Excellent judgement and discretion when handling confidential or sensitive information
- Strong written and verbal communication skills with a consistent, professional demeanor
- Extreme attention to detail and organizational skills with the ability to prioritize
- Quick learner and self-starter with strong anticipation skills
- Proactive problem solver and independent thinker
- Ability to work well under pressure, adapt to unexpected events, and multi-task in a deadline-driven environment
- Strong proficiency in Microsoft Office
- Experience with expense platforms such as Concur or similar tools
- Positive, team-oriented attitude
$20 - $21 per hour
