Administrative Professional/Accounting Staff

Central Office Administrative Professional/Secretary Primary Purpose: Under the direct supervision of the Chief Operations Officer, assist in the administration of the school district's accounts payable, payroll, and general accounting functions in conformance with district policies, practices, and applicable laws. Essential Functions Administer accounts payable: process purchase orders and invoices, maintain accurate records in the accounting system. Investigate and resolve invoice discrepancies with vendors, consultants, and other parties. Maintain updated accounts payable records and filing. Compose correspondence related to accounts payable activities. Maintain inventory of General Fund assets. Reconcile accounts. Assist in maintaining timekeeping, staff absences, and payroll data in the processing system. Process payroll in accordance with established practices, ensuring accurate disbursement of funds. Enter payroll tax and deduction information. Investigate payroll discrepancies and implement corrective actions. Update payroll information annually as needed. Enter attendance data for posting and reporting. Prepare reports, memos, letters, procedures, and manuals related to expenses and balances. Perform other duties as assigned. Additional Duties Perform other related duties as assigned to ensure efficient Central Office processes. Equipment Standard office equipment: personal computer, copier, fax machine, telephone, calculator. Knowledge, Skills, and Abilities Knowledge of accounting and bookkeeping principles. Organizational and time‑management skills. Communication skills (oral and written). Ability to follow written or oral instructions. Proficiency with arithmetic and calculator use. Computer literacy (Word, Excel, etc.). Problem‑solving ability. Accurate paperwork processing. Confidentiality of financial information. Establish and maintain cooperative relationships. Independent and collaborative work capability. Physical and Mental Demands Standard office building environment. Qualification Profile Any combination of education and experience that provides the required skills and knowledge is acceptable. Typical qualifications include an Associate’s or Bachelor’s degree in Accounting or a related field with coursework in business, mathematics, accounting, and bookkeeping.
