Litigation Legal Practice Assistant The primary responsibility of the Legal Practice Assistant is to provide highly varied and complex administrative support to designated attorneys, other legal practice assistants, paralegals, and to Perkins Coie LLP as a member of the team or hub, with minimal supervision. The role involves maintaining the firm’s reputation, upholding professional conduct, ensuring confidentiality, and working at the Los Angeles office two days per week. Essential Functions Proactively maintain overview of timekeepers' workload and caseload; anticipate next steps and implement follow-up procedures to ensure each task is appropriately tracked and completed. Create, edit, revise, redline, and proofread documents from dictation, handwritten, typed, and electronic copy. Maintain timekeepers' calendars of meetings and business trips and apprise them of responsibilities in advance. File paper and electronic documents with courts and agencies, ensuring procedures and deadlines are met. Receive, screen, and transmit telephone and conference calls professionally; take accurate messages for clients and staff. Process and route incoming mail, faxes, and electronic communications. Prepare outgoing mail, prepare boxes/packages for shipment, and arrange messenger services as needed. Coordinate with docketing specialist, reviewing docketing reports for accuracy of dates to meet firm docketing requirements. Coordinate preliminary conflicts checks with Professional Standards. Prepare new client/matter intake forms and engagement letters. Assist with billing process: daily time entry, proofreading, and releasing; distribute monthly proformas; review and edit prebills and prepare final bills in accordance with firm procedures. Prepare accounting documents: check requests, expense and travel reimbursement requests, and trust documents. Coordinate client/attorney/administrative conferences, meetings, and appointments; schedule conference rooms, visitor offices, meals, and preparation of materials; arrange third parties if needed. Coordinate travel arrangements, securing air, hotel, and car plans for timekeepers. Set up and maintain administrative and client files; file electronic and paper documents promptly and accurately; maintain file organization and updated indices. Perform copying, scanning, and faxing tasks. Prepare notebooks as required. Conduct Internet research as directed by timekeepers. Occasionally assist timekeepers with personal work requests defined in the firm manual as “acceptable tasks.” Specific Skills Preferred Ability to type 75 WPM accurately; effective oral and written communication; establish effective working relationships throughout operational groups. Strong command of the English language; excellent spelling, grammar, punctuation, form and style. Good knowledge of personal computer and system utilities or comparable document production software. Excellent organizational skills for prioritizing workload; ability to compose correspondence; solid knowledge of library operations and records storage procedures for retrieving materials and files for case work. Knowledge of records management; working knowledge of state and federal court and administrative agency rules, procedures, and deadlines; thorough understanding of legal terminology and procedures pertinent to the area of assignment. Education and Experience High school diploma or equivalent. Minimum seven years of previous law firm experience. Notary certification is helpful. Benefits and Compensation This position is eligible for an annual discretionary bonus, a 401(k) plan, medical, dental, and vision insurance, accrued paid time off starting at 20 days annually, personal medical and parental leave, up to 10 paid holidays, and family care benefits. The Los Angeles compensation range is $75,890 to $136,600 annually.
